Dynamic Future - An Imagined Conversation Around GP 2013 New Features

I'm working through new stuff in GP 2013 as part of my joint session with Errol tomorrow and frankly, all of my favorite new features won't fit in the time that I have to present. I figured most users wouldn't mine if went a little long, by like 3 hours, but 'they' said no, I have to choose. It's not quite like choosing between my children because let's face it, buying Dynamics GP is way cheaper and less smelly than having a child, I mean a teenager but and infant could work too there I guess. But I digress.

I'm skipping the vote this week to reflect on all of the cool stuff we asked for that made it into GP 2013. Things like depreciation undo, printer selection, P.O. prepayments and clearing unit accounts at year end. Oh and there is better SSRS integration and tolerance handling and...there I go again. So I thought that I would leave you with a short tale (I mean story, tail is the thing that wags) that I'm certain, is probably not very true, mostly.

This conversation almost certainly didn't take place in a unnamed hallway in an out of way building on Microsoft's Fargo campus between an unnamed program manager and an generic Dexterity developer, when Dynamics GP 2013 was merely a gleam in Marketing's eye.

Program Manager: So the world is moving to the cloud and so are we. We need to make the future of Dynamics GP cloudy.

Developer: Um, you mean like MAS 90?

Program Manager: No, I mean that we have to build a web client for the next version of Dynamics GP.

Developer: Funny you should mention that. In what little work time I have left after reading all of Mark Polino's blog posts every day, I had lunch with a robot space alien that gave me a magical box that turns Dexterity into HTML...or maybe I wrote it myself and you're just not paying me enough. Either way, I live in Fargo so it's all good, eh.

Program Manager: That's great! But we can't just ship a web client. Users will want more than that. It's not like we're Oracle and we can keep raising enhancement fees without delivering any value. Besides, Polino already suspects that Musgrave uses alien technology for the Support Debugging Tool. We're going to need to add more features as a diversion. But where do we get them from?

Developer: Hey, what about Microsoft Connect? You know, that website where users can suggest and vote on new feature for the next release of Dynamics GP.

Program Manager: I keep talking about that but I didn't know that anyone actually uses it. Dust that off and see what you can find. I know that we need some Fixed Asset stuff. People whine at me about Fixed Assets all the time. Maybe some more reporting thingies. Reporting is like Chinese food. People want more 20 minutes after you give them something great. Oh and we need name for the new product. Something Marketing can't say no to. Maybe 'Dynamics GP Super ERP Software of Greatness...with Bacon'? You can never go wrong with bacon.

This was definetly, assuredly not how Microsoft Dynamics GP 2013 probably got all of those great new features that we've been asking for.

We've used both the white paper mentioned in the post and performance troubleshooting from Microsoft and I can highly recommend them both.

Weekly Dynamic: Prevent Posting

This has come up a couple of times recently so I thought I would cover it here.

The scenario is a company wants users to have the ability to enter journal entries but only allow certain users to post to the GL. One answer is to prevent transaction and series posting and require batch approval with a password. This works but requiring an approval requires approval for ALL GL posting including posting from subledgers.

Another way is to control posting through security. Security to posting is controlled via the "Series Posting Permission" type in Security Tasks. By default GL Posting is included in the TRX_FIN_003* and ADMIN_COMPANY_11* tasks. Yeah, you didn't see the ADMIN_COMPANY_11* task coming did you? It also includes batch recovery so more users may have this than you think.




This why I recommend that you don't rely on the default tasks and roles. You really need to know what in there.

Weekly Review: POP Invoice Match Extended Price

 

Here’s the scenario: in POP you go to match an invoice but you can’t quite get quantity and unit price to equal the extended price you need to match too. Usually this is because there aren’t enough decimal places defined for quantity or unity price.
The fix for this is easy. Set the quantity and force the extended price field to be what you want. GP will automatically adjust the Unit Price. This works even if there aren’t enough decimal places defined, GP still forces the unit price and deals with the decimal places behind the scenes.
This also works for P.O.’s, Receivings and SOP transactions. It’s also a great way to make sure integrations are right. Integrate the quantity and extended price and let GP figure out the unit price.

GP PowerPack — WilloWare

The good folks at WilloWare continue to be ahead of the curve with their GP PowerPack . Updates to the GP PowerPack  include a number of items that we've highlighted as suggestions for Dynamics GP. You can get them now, without waiting for MS. Some of the new items include:
  • Auto Filling the Distribution reference
  • Resizing the SmartList window
  • Locking SmartList Favorites
  • Copying User Defined fields during mass modify
This is a reall small sample. Look at the GP PowerPack  page for more and support folks who are bringing you fast fixes to issues.

GPUG – Inside the New GPUG A/R Program (Sep 2012)

Previously, the good folks at GPUG had a certification for AP end users. This was a great way to ensure that end users had the skills they needed to properly process payables. Now they are launching a Professional Certificate in Accounts Receivable (PCAR) providing similar knowledge and training for AR users.

I've recommended the PCAP to clients as a great resource and I'm sure that the PCAR will be fantastic as well. Follow the link to learn more.

Weekly Dynamic: POP Over Receipt Tolerance

We've covered a bunch of the now free PSTL tools. When Microsoft made the PSTL tools free they also made some other tools free including POP Over Receipt Tolerance.

This tool allows a receipt tolerance percentage for quantities. A setup window allows the user to enter a tolerance percentage, that percentage is then used when a Purchase Order is received. The highest quantity that can be received is the original quantity ordered plus the percentage amount. I think that this is going native in GP 2013 but if you need it now you can get it.

These tools are available through your partner. I've always found them to be a pain to find so I'm putting up the link here.

I've got a new SmartList resource available. This is a front and back quick reference guide to SmartLists in Dynamics GP. It’s similar to ones you've seen at office supply stores for applications like Word and Excel. The format is designed to print front and back and is perfect for heavy card stock or laminating.

The folks who have gotten advanced copies keep coming back for more. I've decided to make it available via the website. It's $5 to download a PDF version and you can get it on the Best Practices tab.


I don't care if you distribute copies to your co-workers but this is a copyrighted product. Please don't put on the web for free. Enjoy!

Weekly Review: Undo Depreciation

 

It’s not unheard of for someone to make a mistake with depreciation. Maybe an asset was put into service early for example. Well if you need to undo depreciation for a single asset in Dynamics GP it’s very easy. Simply go to the Routine for Depreciate One Asset, select the asset to undo depreciation for and set a new depreciation date. So if an asset was depreciated through 2/28/11 and you need to put it back to 1/31/11 set the depreciation date to 1/31/11. GP will warn you that the depreciation date is earlier than the depreciated through date and this will back out depreciation in GP. Once depreciation is processed the subledger is updated and a reverse GL transaction is created when the GL Transaction routine is run.

This works great for a single asset and is really easy to do. So what happens if you accidently mess up a complete depreciation run? Microsoft support has a script that can undo a depreciation posting. I’m working on getting permission to post the script. Until that happens you can contact Microsoft support and they’ll send you the script.

I’ve been keeping my eye on it and given the uptick of questions I’ve been receiving and discussions I’m having, I’m now going to call it a “trend” - the Microsoft GP user community is changing the way they want to manage EDI. Until now, it seemed that companies were selecting one of numerous options to meet their EDI mandates, but after hearing a lot about what EDI is not doing for their company, I’m seeing a shift in what they are looking for when it comes to Dynamics GP EDI, especially now that we’re on the cusp of the Microsoft Dynamics GP 2013 release.  With pending future upgrades in consideration, companies are also thinking about how they can best manage EDI now, while also setting themselves up for a potential upgrade down the road, cost-effectively killing two birds with one stone.

From the discussions I’m having out in the community, I understand that GP customers are discovering more and more about what EDI should be delivering to their business. What was once acceptable is no longer the case, as technology has changed to support evolving business needs and Microsoft’s development strategies.

Here are the latest trends in what GP users are looking for when it comes to EDI:    

#1 – End to end automation
Pushing a button to integrate a transaction used to be great as it saved time over manual entry.  But now users are asking, “Why do I have to push a button and who is going to do it at 2am?” They want automation of key EDI process that gives them the flexibility and security they’re looking for. 

#2 – Manage EDI by exception
GP users don’t want to deal with every transaction, only the issues that need attention. Managing by exception lets the transactions without discrepancies continue without interruption and eliminates unnecessary manual touch points.

#3 – Leverage standard Microsoft integration framework
Writing directly to tables and bypassing business logic is not best practice. By leveraging integration tools such as Microsoft’s e-Connect, users can avoid custom routines that populate data and bypass standard business logic.

#4 – Deeper and broader integrations
Users need more advanced logic, such as touching specific values in a sales order or handling advanced three-way matching logic.  They also need broader document integrations so they can get new documents integrated quickly and easily to avoid jeopardizing trading partners relationships.   

#5 – Avoid transaction fees
EDI data is a lot like email – would you pay to send an email? Right, then why pay for transactions when you don’t need to, especially when your trading partners support direct connect?  

#6 – Audit the transactions Too many companies complain about the lack of tools available that can identify issues before they become problems. They wonder why they can’t find out that an invoice was not transmitted and/or received by a partner before it is overdue. They would rather receive an email alerting them when a document has failed.

#7 – Guaranteed support turn-around times: In the world of EDI where delays and errors can result in unnecessary and costly expense, organizations don’t have the flexibility of waiting for support responses.

Responding to these trends is an innovative EDI technology model that GP users are rapidly adopting. Users are looking to an EDI solution that is based on leveraging the native integration framework of the GP platform while providing all of the EDI transaction functionality outside the application¸ an alternative to other EDI technologies that provide similar functionality inside the application. With this approach, companies can:

1.     Implement a single, plug-and-play, truly integrated solution that doesn’t utilize 3rd party translator tools;  

2.     Leverage a fully-automated EDI solution with predictable ownership costs; and

3.     Benefit from a non-embedded design and XML data storage within SQL that avoids ERP requirements and customizations, simplifying daily use and providing flexibility when managing ERP update/upgrade projects

Weekly Dynamic: PSTL IV Reconcile

The now free PSTL Tools (I know PSTL Tools is technically redundant, Professional Services Tools Library Tools, but that's how it is commonly referred to) includes an improved Inventory Reconcile tool that only reconciles items that need it. In most cases this is significantly faster than the base tool. How much faster?

I have an example from a client. It's not a perfect benchmark but but in their admittedly slow test environment, it took 24 hours to run the base reconcile and 5 hours to run the PSTL based reconcile. The PSTL reconcile has more volatility in how long it runs because it depends on how many items need to be reconciled.

  2. The chance to be publicly humiliated by new presenter, Huber Cooney. Huber and I go way back. He only gets to present this year because the conference is within range of his ankle monitor. Don't worry, he'll be fine in sessions, but at the bar after...well...you know that scene from Roxanne with the nose insults, Huber can, and regularly does, put that to shame. [This is the YouTube link for the young uns in the room.]
  3. 50 more tips for Dynamics GP. Yes, I dug up 50 new ones just for you. Bring a napkin, some of these will make you drool. In all seriousness, folks regularly say "this presentation was worth the cost of the conference." If its not, Huber will give you your money back.
  4. The fun of calling Andy Snook of Fasthpath "Snooki" and then buying him a Jack Daniels as an apology.
  5. The opportunity to learn a lot more about Dynamics GP, Microsoft Excel and how they both fit together as slices of an awsome pie.
  6. The chance to build relationships that help you get your questions answered after you go back home. It's much easier to get John Lowther, Mariano or me to answer your question when we can put a face to a name.
  7. The chance to hang with Bob McAdam who is a genuinely nice guy, despite being a Bucs fan.
  8. Seeing what Huber (and probably Dwight) will do to me as payback for this post.

Weekly Review: Increase the number of password tries

Weekly Dynamic: Increase the number of password tries



By default in Dynamics GP, if you type your password wrong 3 times GP closes. This setting can be controlled in the Dex.ini file.
The setting is:

SQLNumLoginTries = number

The default is 3, setting this to –1 allows an unlimited number of tries. This doesn’t change any SQL based lockout parameters, it simply keeps GP from closing after 3 tries.

Future Dynamic-Vote-Batch Approval for POP Batches

So I've gone to something straightforward this week. I think that POP batches, Receiving, Shipment Invoice and Invoice batches should have batch approval functionality similar to AP. In the case of Shipment Invoices and Invoices in particular, these actually create AP batches and sometimes AP wants/needs to control the posting.

I know, the approval should really be at the P.O. level but since you can over/under receive and change the cost (depending on settings) some companies want a double check before sending this to payroll. If you'd like to vote for this go to:

7 Years of Failure

Today is the 7th anniversary of DynamicAccounting.net. In 7 years I've failed a lot.
  • By the end of the day this blog will have over 4,870 posts on Dynamics GP, but I didn't make 5,000 posts in 7 years. I Failed.
  • At this point my Twitter followers are stuck in the low 900's. I failed to hit 1,000.
  • I've failed to change the behavior of any number of people who continue to do dumb things with Dynamics GP. I Failed
  • I've failed to make a million dollars with this blog. (Not that there was ever much hope in that.) I failed.
The funny thing about failure is how you measure it. Measuring against a goal, something is a failure. Measureing against results, it's a success. For example:
  • I'm happy that though I haven't yet hit 5,000 posts, it will happen before year end and I added more than 1,300 new posts this year.
  • While I haven't fixed everything in Dynamics GP (I'll get right on that) we all made strides together this year by highlighting Microsoft Connect items that we would like to see in future versions. I also think more and more of the basics of how to setup GP effectively are spreading through the community. We're building a body of knowledge that helps everyone.
  • I have made a little dough through some great blog sponsors and those of you who were kind enough to buy my book. I'm writing another so start saving now.
Dynamics GP 2013 is going to be the best release ever and yet they will fail. Some features won't make the cut. Something you want won't be in there. I already know of something that I really wanted in the product that didn't make it so I'm right there with you. But here is the thing about failure, we can shoot for crazy goals and fail. In the process, we still do some pretty incredible things. We could choose instead to chase easy goals. Everyone is a winner, everyone gets a trophy and everyone is bored. I think I'll keep failing for at least one more year.

Importing PSTL Data

Now that the GP Professional Service Tools Library (PSTL) is free, I wanted to highlight that you can import the settings for many of the tools. For example, in Account Modifier/Combiner you can select Import to import files to be modified/combined.

  • Select Validate to pick the file. PSTL will validate that the information is formatted correctly.
  • Click Modify to actually import the information.

The PSTL manual indicates that you should use a Tab Delimitted file and that worked in my testing but I have had some users indicated that Tab Delimitted doesn't always work. In those cases using a CSV file did work.

The ability to import changes makes using PSTL for large changes much easier.
