Dynamic Future - Vote - Better Control of SmartList Visibility

This feature is my suggestion and it should be easy to implement. I want the ability to control the default visibility of a new SmartList Favorite. Today it defaults to System (all companies, all users). I want the ability to default that to "User" to help reduce SmartList sprawl. I've been recommending the use of "User" for a while now. Especially after a number of companies have asked if it's possible to just delete all the Favorites and start over.

Dynamic Future - Vote - Roll Down Account Segment Description Changes to the Chart

Just to make sure that everyone is clear. You don't have to like these suggestions. If you don't like them, don't vote. However, If you do like a suggestion and you don't vote, you lose your right to complain about that issue.

The goal is to get you thinking, and voting, about what you want in Dynamics GP in the future.

This week's suggestion revolves around the chart of accounts. If you use segment descriptions and allow them to populate the chart descriptions you can get a really clean chart of accounts. But what happens if something changes? For example, you thought that a main segment description of "Receivables, Accounts" was a good idea until you realized that now no one can ever find the account by description. Users are disgruntled, the natives have pitchforks in their cubes. Today you have to go to each account and fix it or use SQL to clean things up. It would be pretty cool if you could change the segment description and have it roll down to the chart.

Weekly Dynamic: Tracing Purchase Price Variance

Purchase Pice Variances can occur when the purchase invoice cost is different from the cost recognized on the receipt (usually the same as the P.O.).

GP properly adjusts for these cost difference but they can be a real bear to trace. When you find the GL side of one of these transactions they don't link back to the source except with a reference. You have to go to SmartLists or the tables to figure out that they started in Inventory.

However, there is a Dex.ini switch that can make this easier. Adding:

REVALJEINDETAIL=TRUE  

to the Dex.ini file populates the ORCTRNUM, ORMSTRID, ORMSTRNM and ORDOCNUM fields in the GL10001 (GL Transaction Amounts Work) and GL20000 (GL Year-to-Date Transaction Open) tables making it much easier to trace these transactions back in SmartLists.

There is also a set of downloadable reports that improve on the default posting reports. However, neither the default reports nor the downloadable reports can be reprinted so if you want that detail you'll have to print or save the posting reports.

Last week we looked at PowerPivot for analyzing Dynamics GP data. This week someone asked if you can connect to multiple cubes with PowerPivot. Yes you can. For testing I connected to the GP Financial Cube and Sales Cube and then was able to join them in PowerPivot. These cubes were both on the same server but given the way that PowerPivot connects that there is no reason that you couldn’t join cubes across servers assuming that the you have the right access.

Associating an Inventory item with a site is pretty easy. Removing that association is trickier. Here is one method.

  • Select the Inventory Area Page
  • Select Quantities/Sites under Inventory Cards
  • Enter or Lookup the Item
  • Click Assigned
  • Click Site ID
  • Scroll, Lookup or Enter the Site ID that you want to disconnect
  • Click Delete
This removes the association, it doesn't delete the item.

PowerPivot is designed to support end user/power user BI, including millions of records, from inside of Microsoft Excel. It works great with Dynamics GP tables, views or analysis cubes as a data source. Even better, it’s free.
PowerPivot required Microsoft Excel 2010 at a minimum and gains even more power with SQL Server 2008 R2 and Sharepoint PerformancePoint Services. If you need a compelling reason to start upgrading to Excel 2010, this is it.

Go to Inquiry >> Sales >> Transactions by Customer. Call up a customer who has a cash receipt transaction. Select that cash receipt transaction and drill back to see the original transaction.

No where on this enquiry window can you see the Checkbook ID that this cash receipt was posted to.

I have some strong thoughts on this. Posting in summary makes matching the subledger to the GL incredibly cumbersome if you get out of balance. It makes it impossible to use tools like The Closer to assist with balancing. I have yet to see a scenario where the benefits of posting in summary outweigh the negatives for most accounts.

Weekly Dynamic: Fixed Asset GL Account Transfer

A lot people don't use Fixed Asset transfers because they think in terms of the physical movement of assets but transfers can be used for more than that. For example, if an asset has been going to a wrong account or if you decide to reorganize fixed assets and change accounts a fixed asset transfer can be used to move the GL accounts.

To transfer GL accounts for Fixed Assets in GP open the Financial Area Page. Under Fixed Assets pick Transfer. Select an asset and transfer date. Click the blue arrow next to G/L Accounts. Change the accounts that need adjustment and click transfer.

Doctors, Dinner and Dynamics GP in Kenya


For the last eleven days we (me, my wife, both kids and about 40 others) have been doing missions work in and around Nairobi, Kenya. We worked with a  local church and school founded by World Hope at the edge of the Kawangware slum. Our work included a three day medical clinic where we provided exams and medication to more than 900 people. We did a one day feeding program where we fed roughly 600 folks. We also brought electricity to the two buildings at Hope Academy. I want to offer a huge thanks to everyone who contributed to make this trip possible. You helped us make a difference.
 
But this is a Dynamics GP blog so let me bring this back to Dynamics GP and accounting skills. On the trip we had doctors, nurses, school teachers and a veteran utility lineman (he climbs electrical poles for a living). All of these folks have skills perfect for this trip. I'm an accountant. I can't tell malaria from a runny nose. Fortunately I'm a Dynamic Accountant so there were plenty of places to apply my skills, even if they weren't obvious.
 
  • Inventory - at every stage of the trip we were counting things. We counted people, luggage, money, you name it. I can count.

  • More Inventory - before we could setup a makeshift pharmacy to support the doctors, we had to separate and count the various medications that we had brought. I think you can see where this is going. Accountants rock at counting and labeling things.

  • Forms - During intake, we took basic information from everyone going through the clinic. Things like name, symptoms,  weight, pregnancy status, etc. We were primarily concerned with factors that affect medication dosing.  I worked intake for two days and if you've ever done any tax work (personal, corporate, sales and use, tangible personal property, etc.) you quickly become an expert at filling out forms.  Intake was a blast. I got to ask men if they were pregnant. The joke of having to completely fill out the form, even if the question is irrelevant,  is funny in both English and Swahili. Some of the Kenyans were still laughing about it at the end of the trip.

  • Feeding - We didn't run people through a soup kitchen line. People in our group (with direction from our Kenyan friends) cooked high nutrition meals based on specially fortified rice. We hand cut potatoes, carrots and cabbage and turned the whole thing into a sort of Kenyan stew to layer over the rice. We then individually served every person who came in and sat down. Finally we picked up each  plate  and did it all again. There was a pretty significant distance between the kitchen and where we were serving and an unusual rain the night before left much of the grassy areas under water. While it wasn't a global supply chain, I certainly got to use plenty of my logistics experience overseeing the chain from the kitchen to the diners and back.

I also got to encourage some accountants. Kenya has CPA's . The church's finance director , Action Jackson as he's known to us mzungu,  is a CPA. The church administrator, Fred, and one of the security teams members, Amos, are both studying to be CPA's. They had lots of questions and we got to bond over accounting.

We were on the bus one day reviewing what medications we had remaining when I got a glimpse of the invoice from across the bus. It looked familiar. They passed it over to me and I realized that the charity we had gotten our medication through was using Dynamics GP. There is something about that Report Writer based invoice. After looking at it for more than 10 years I can spot one from across room or a across a bus, even 8,000 miles from home.

I wrote this for you to understand that accounting is a profession. The skills you develop are useful in scenarios that you can't imagine today. Dynamics GP is a global product. You never know where you are going to find it. I want to encourage you to develop both your accounting and Dynamics GP skills. You never know when you might get to do something really special with those skills.

[For the curious, I couldn't find Diet Mountain Dew at/in: JFK (NY), Heathrow (London), the entire city of Nairobi,  Charles deGaulle (Paris) or Miami International. I also didn't pack any in my suitcase due to weight constraints. No, my 11 day stint in Diet Dew rehab didn't do a thing for my addiction.]

Weekly Review: Integration Manager and Excel

Often users save Excel files to CSV or Tab delimited files for use with Integration Manager. IM provides a way to skip the conversion and just import an Excel file. To make this work you simply need to define a range in the Excel file first. Then create a simple ODBC data source and pick the Excel driver. Select the Excel file and the range.

Now you can skip the middle man and integrate directly from Excel.

Dynamic Future - Vote - MR Row Linking

Row Linking is one of those FRx features that didn't make into Management Reporter. At every MR 2012 event I've been to so far, someone brings up Row Linking so it's time to link to that as a suggested feature.

The vote for this are very fragmented with multiple suggestions for this feature. In some cases, the request is buried with other feature requests making it hard to find. I've picked one so that we can concentrate our votes and hopefully make a difference.

Weekly Dynamic: Professional Service Tools 1099 Modifer

One of the cooler tools in the now free Professional Services Tools Library is the 1099 Modifier. The common scenario is that a vendor was not properly setup as a 1099 vendor and now there are transctions not marked as 1099 transactions.

The 1099 Modifier tool allows you to fix this by updating vendor 1099 amounts after setting the vendor 1099 flag.

You can also choose to just print a report showing what changes the 1099 Modifier will make when you run it.
