We can automate the rote pieces with computers just as engineers can automate calculations when designing a bridge and doctors no longer have to wait weeks for lab results. However, like Engineering and Medicine, Accounting remains a profession and no amount of automation (on premise, in the cloud or up someone's behind) can replace the judgment and expertise required to ensure proper control, accuracy, timeliness and usefulness of financial information. If anyone tell you differently, run. I've cleaned up too many messes created by someone playing accounting.]

Weekly Review: Dynamics GP Passwords, Case Sensitive Logins and ODBC Connections

 

Yeah, the title is a little weird. Here is the background. A client was moving terminal servers. Old server and new server were both pointed to the same Dynamics GP source. Users would log in to one terminal server and everything worked fine. When they logged into the other terminal server, GP would lock and their password needed to be reset. It didn't matter which terminal server a user logged in to, the first one they logged into worked fine, the second one hung and required a password reset to use that terminal server.

I know, what does the terminal server have to do with a GP password?

Well Dynamics GP uses the User ID and the server name in the ODBC connection as part of the hash when encrypting the user password for the first time. In our case, one of the terminal servers had the SQL Server as a fully qualified domain name and one just had the server name. So the weren't exactly the same and it broke the ability to decrypt the password.

This is also why user logins are case sensitive. The ASCII characters are different for upper and lower case letters so different information is passed when encrypting upper case vs. lower case passwords for the first time.

To solve our little problem we made both server names identical in the ODBC setup and then we reset the passwords of the affected users.

This is a nice HR/Payroll suggestion, dependent addresses should roll down by defaul from the employee's address. Yes this won't always be the case but I'm willing to bet that it's the case more than half the time so there really should be an option to handle this better than retyping the addresses.

Now that the Professional Services Tools Library (PSTL) is free, more people will be using them. However, the PSTL tools are powerful and this also makes them potentially dangerous.

Here is an example:

If you open PSTL tools, check Fiscal Period Modifier and click next you get some options to change the companies fiscal periods. So far, so good.

If you hit Setup Periods in Step 1 you will wipe out your current fiscal periods without warning.


Oops. Yeah. When I did this it was a pain in neck to fix the TWO company. I can't imagine doing it accidentally to a production company.

Weekly ReviewFixed Asset Impairment

 

There is no Fixed Asset Impairment feature in Dynamics GP per se but that doesn't mean that it can't be done. The simplest way to accomplish a full or partial Fixed Asset impairment is do a full or partial retirement of the asset in GP and create a retirement code to identify impairments. Since GP supports partial retirement by cost or % this will work for assets that contain multiple quantities in GP.
For example, a $100,000 assets is impaired and is now only worth $60,000. The company can partially retire 40% of the asset (or specifically retire $40,000) and take a loss.

The nice thing about this is that it's easy to un-retire an asset. While Generally Accepted Accounting Principles (GAAP) won't allow you to un-impair an asset, International Financial Reporting Standards (IFRS) will. As the world moves toward IFRS, the ability to un-retire an asset and recapture the impairment becomes more important. It's also nice if you goof when retiring the asset.

For reporting purposes, using an impairment retirement code makes it easy to separate out impairment transactions from true retirements.

John Lowther wants additional payroll account options. If you want that too, go vote.

For any Payroll Account Type you only have the options for Department, Position, and Code to map that to a specific posting account.

But I need other items from the Employee Maintenance window like Division, Location, and Class ID, even one of these would solve my problem but all three would be great. Additionally, for existing customers that do not need these extra columns the "All" entry in that column would work fine for them.

Weekly Dynamic: Solve for Values - Bank Rec Example

Let's say for example that someone has done a poor job of entering deposits in Dynamics GP. Instead of selecting appropriate receipts and processing a deposit, they selected receipts that don't match the way the physical deposit was made. Now you have a mess trying to balance the bank account. Having to add multiple items to match a single number commonly comes up in Bank Rec. (I don't just mean GP bank rec either. I've seen cases where you have to combine items differently for bank recs by hand, with Quickbooks, Peachtree and Oracle financials. It's a bank rec thing.)

Excel can be a big help when trying to combine transactions to match so we're going to work through an example. One caveat, this method finds one match. It may not be the only combination that can match. You'll need the Solver add in that comes with Excel. Use File-Options-Add Ins to see if it's turned on and activate it if it's not.

1. Key amounts into Excel that look like this:


The Amounts column contains the amounts that you will ultimately use to try to find a match. Indicator is just the number 1 all the way down. We use it in the calculation.

2. In cell C1 type SumProduct(A2:A7,B2:B7). This will show the sum of A x B.
3. In cell D1 type 27.62. This is the amount we are trying to combine items to find. It's here just for reference.



Excel is going to add up the items in multiple combinations until it finds a combination that matches 27.62.

4. Click the Solver icon
5. In Set Objective enter or select $C$2
6. Check Value Of and enter the amount you want to find - 27.62
7. Set By Changing Value of Cells to $B$2:$B$7
8. Click Add. Set Cell Reference equal to  $B$2:$B$7 and the middle field to bin.
9. Click OK. Click Solve.


Excel changes the 1's to 0's except for the lines that add up to $27.62.


To reset to search for another number, change column B back to all 1's, click the Solver icon and change the amount.

Many times when working through a bank statement there is a pattern. Items are off by a day for example. These are pretty easy to find by hand. Sometimes it's a lot harder an you a tool like this.

It's been a good couple of months for Fastpath

If I were Fastpath, I'd be wondering where all the free marketing was coming from and how I could get more. The last several months have seen a number of unrelated items all point to Fastpath's products for users of a Microsoft Dynamics ERP system.

For those of you not familiar, Fastpath makes security related products for all of the options in the Microsoft Dynamics line. For Dynamics GP specifically they offer:

Config AD - Single sign on and security management tied to active directory. Yes you can log in to GP using AD.

Audit Trail - Transaction auditing.

Assure - Separation of Duties evaluator for Dynamics GP. This doesn't get enough airtime but for risk junkies it's pretty cool.

Audit View - Audit/Security report scheduling and delivery.

It all started with the July issue of Journal of Accountancy which profiled ten years of Sarbanes-Oxley. I thought, hey, SOX generates plenty of Audit Trail and Assure work for Fastpath. Thought drifted away into the ether.

Then my much anticipated August J of A arrived (they are all much anticipated, don't read anything to the August part) . Lo and behold, it's all about fraud and we're back talking about security control, auditing and separation of duties.

[Sidebar: For fun, checkout this this fraud, described at CFO.com, that included the CEO colluding with the HR manager because the CFO “always demanded proper documentation”.]

Finally, MSDynamicsWorld.com is reporting that Microsoft is killing the native Audit Trail module in Dynamics GP. Frankly, MS bought this functionality and doesn't appear to have ever spent a dime improving it. I think they got tired of trying to support it.

 So in a couple of months span, Fastpath has two J of A issues, not just articles, dedicated to needs and problems that their products help solve and a major competitor exits the business. (By major competitor I really mean inertia and the idea that "It's included so let's try to use it".)

Yep, they've had a couple of good months. If they are smart, they'll leverage these marketing gems for a long time to come and hope for September J of  A hat trick.

Weekly Review: Exporting to Other Systems

Recently I’ve had a number of requests for regular processes to get data out of Dynamics GP for integration to other systems. The export formats were all over the place including CSV, fixed length and pipe delimited (|).

In all cases there have been common elements to the exports, they want them to be user initiated. There have also been common elements to the solution, Microsoft Excel.

In one case I used SmartList Builder to create a SmartList with everything we needed to export, then I used a SmartList Export Solution to provide a button for the user to export the data to Excel and activate an Excel macro to format and save the file.

In another case, the client didn’t own SmartList Builder so I used a refreshable Excel report to get the data we needed an then used a macro to format the export.

With the power of Excel, getting data out to other systems becomes easy.

Weekly Dynamic: Override AR Writeoff

In Dynamics GP you can set a maximum write off amount for a customer on the Customer Maintenance Options card. (Cards | Customer, click options). This works great for controlling small writeoffs, little short pays, etc.









At some point though you'll need to write off something larger. A great way to do this is to add a password to exceed the maximum write off. This is set in Receivables Setup.














At one time or another you'll have write off's and GP gives you lots of options.

Weekly Review: Options for Controlling GL Posting

There are a couple of different options for controlling posting to the GL in Dynamics GP. One option is to add a password for posting GL batches in Tools->Setup>Posting. On the plus side, this lets anyone create a GL transactions but only those with the password can post. The downside is that transactions that would otherwise post through from a subledger, won’t.

Another option that is often over-looked is to control who can post to the GL with security. This will still let anyone create GL entry but only those with proper posting permission can actually post a batch or transaction.

Weekly Dynamic: Line Numbers in SQL Server

Many of you know just enough SQL to get by. By definition that involves some trial and error to get things right. Inevitably one of your Select statements will fail and SQL will give you some hints about what's wrong including a line number.

But how do figure out what line is what? Do line numbers include spaces? There is a line number listed in the bottom right but even that is a pain to use.

In SQL Server Management Studio you can turn on line numbers with Tools | Options, expand Text Editor, Expand Transact-SQL, select General and check Line Numbers under Display.

Weekly Review: Copy Distribution Reference

In GL distributions, users often want to copy a distribution reference to all of the lines. Well, there is no magic technique to make that happen but there is away to make it easier.
  • Start by expanding the GL lines to show the Distribution Reference
  • Enter the reference in the first line
  • Copy the first line’s reference
  • Press the down arrow to move to the distribution field on the next line
  • Paste the reference
  • Press the down arrow again and repeat until the reference has been copied to all of the lines.
