Eric Kimberling explores ERP Fear Factor: The Hidden Costs of ERP Implementations. I’m not sure that I agree with Eric’s implementation numbers as they relate to GP in particular. Even on a total cost of implementation basis my current project would be about 10 times higher than it actually is.
Also, we used to use a 1:2.5 software to services ratio but as software vendors keep dropping prices and adding incentives the 1:4 ratio does make sense. On the services side, smart people who do good work don’t get cheaper over time.

- Add the user or message in the value field.
Now when a user logs in they see the User ID specified in value field. Try not to support your favorite sports team this way. It’s obnoxious.
For example you could use “sys down tonite” (spelling to fit 15 char limit) to remind folks of an outage tonight or “TS due Mon 5pm” (14 char) as reminder that timesheets are due.
We use it a one client to show "Loading..." to keeps users from interrupting while FastPath's ConfigAD does it's magic of populating the login via Active Directory.

Weekly Review: Batches that Won't Post
[Ahem. Step on soapbox. Clear throat]
I've been giving this speech an awful lot lately and most of you should know better, so you're getting "the speech" again. I know that many of you don't follow our advice to print and review the batch edit list prior to posting. I understand. When I was a controller and it was my GP system I didn't run them either. What hurts is that you haven't run one in so long that you freeze up and don't know what to do when a batch doesn't post properly.
You call me and ask what to do. I tell you "print and review the batch edit list". You do and after looking at it three times you see that the fiscal period is closed. Problem solved. Next week you call again. Batch won't post. I say "print and review the batch edit list". You do and see that the Contract is closed to costs. Issue resolved. Next week...
I am always nice. I am always polite. Yes, occasionally there is a real issue that requires some real expertise. It's 1% of the calls. Notice I didn't say "print the batch edit list". A surprising number of people print the batch edit list but don't look at it. You have to review it. The error messages are at the top and potentially in each transaction line. Most of them are surprisingly clear.
I love you all but I will love you more if you "print and review the batch edit list" before you call me.

Weekly Dynamic: PM Keys Corruption and econnect
If this gets screwed up you get duplicate PM_Key errors.The fix is easy enough, run checklinks on Payables and increase the next voucher number in Payables setup.
But we ran into a scenario where this kept recurring and it seemed to be related to an integration but we couldn’t pin it down. We sent the details off to Microsoft and they figured it out.
GP manages the next voucher and econnect also manages the next number. What seems to have been happening is:
- A user would reserve an voucher number in AP
- An econnect based integration would bring in more than 1,000 payables transactions.
- The user would discard their voucher and release the voucher number
- GP would then reset the next voucher number to the discarded voucher resulting in duplicate PM Keys and our error.
Microsoft doesn’t have a great fix, don’t run large econnect integrations while processing AP or keep AP integrations below 1,000 records.
We chose to manage AP voucher numbers ourselves via econnect and not use the econnect process to get the next voucher number.

Weekly Review: Schedule Backups from Within Dynamics GP
Dynamics GP 9 and up allows you to schedule backups from within the application. You'll need to be logged in to GP as an administrator and you'll need to be on the server. Go to File-Backup. Enter the system password if you've set one. The backup window opens, pick Schedule.
- Name the backup schedule
- Pick the database to backup or backup the system databases
- Enter the backup path (this must be a path on the local server)
- Select the days to backup and the time. The time is entered is in a 24 hour format
- Pick how often to delete old backups
- Click Save. --SQL Agent MUST be running when you click save--
This process creates a job in the SQL agent with the information entered. You can modify the job through the GP interface or via SQL to set more advanced options (like notifications). No, I don't expect DBA's to be using this, they'll create their own SQL Jobs, but if you don't have a dedicated DBA, this is a good start. You'll still need to move the backups off the server for real protection but that's easier with today's portable hard drives. There's no excuse for not backing up your Dynamics GP installation now.

Weekly Dynamic: Export Solutions Document Field Length
I ran into this the other day while building a SmarList Export Solution. The Document field length is 80 characters.In today’s network environments, it’s easy to get more than 80 characters in the file path. If you use the folder icon to pick the file name, it will allow you to pick a path name longer than 80 characters and then truncate it at 80. This means the everything will look right but the Export Solution won’t work.
There’s only one good solution and that’s to reduce the number of characters by moving or renaming the file.

Weekly Review: Retention on Time and Material Projects in Project Accounting
Retention (also commonly called Retainage) is a process where amounts (typically a flat percentage) are held back each sales invoice until a project is complete as a form of performance guarantee. Typically, once the final project milestones are met and approved, the vendor has to submit a final invoice to bill the amounts that have previously been retained.
By default, the Project Accounting module in Dynamics GP 10 supports Retention for Fixed Price project only. This is the most common scenario. But, I recently ran across a client who needed retention functionality for Time and Materials type projects. If all of the elements are there, this can be accomplished without any customization.
In a nutshell, the Trade Discount functionality, if it is not being used elsewhere, can effectively masquerade for retention. Here is how you can make it work.
Setup:
- Set the Discount Percentage on the Project Billing Settings screen to the retention percentage.
- Set the Trade Discount account in Posting Accounts to a balance sheet account to hold the retained amounts.
- Create a Retention Cost Category to hold the final billing of retention.
- Trade Discount will need to be renamed as Retention on any related invoices
- Process billing transactions normally using cycle biller or billing entry. GP will automatically subtract the trade discount crediting revenue and debiting the retention account.
Billing retention is typically a bit of a production. Normally there are significant contractual requirements and signatures required before final billing can be completed. Once that is done, there are few things required in Project Accounting to bill the final amounts.
- Use a SmartList to obtain the total amount retained using the Trade Discount field from Billing.
- Process a billable Miscellaneous Log transaction for zero cost.
- Remove the Discount Percentage prior to final billing to avoid calculating retention on the retention amount.
- Alternatively, zero out the Trade Discount amount on the final billing prior to posting.
- Create an invoice via Billing Entry and set the amount to be billed equal to the amount retained.
- Print and post normally
- When reviewing projects, the amounts retained are ready visible in each billing transaction in the Trade Discount field.
- The retained amounts also appear in SmartLists as Trade Discounts. In SmartList favorites this field can easily be renamed to Retention.
While less common in T&M projects, retention can be required there as well. Assuming that the Trade Discount field is available, this simple workaround allows accounting for retention on T&M projects without customization.

Weekly Dynamic: POP Cost Defaulter
By default Microsoft Dynamics GP gets the Last Invoice Cost on a Purchase Order from Inventory setup in Cards | Inventory | Vendors.
If you would like the Last Invoice Cost to default from the Inventory Current Cost or Standard Cost you can do that with the free POP Cost Defaulter utility that is part of the Professional Services Tools Library (PSTL).
POP Cost Default is easy to use. Simply check the box next to the tool to activate it. Mark the radio button and hit next to set it up.
Setup is ridiculously easy. Pick where you want the cost to default from and click Ok.
That’s all there is to it to changing the source of your Last Invoice Cost on P.O.’s

Year End Payroll Updates
We’ve heard from Microsoft that there will definitely be year end payroll updates coming for Dynamics GP. Expect to see a series of updates but hopefully not nearly as many as last year. Some changes, like W-2 and W-3 forms, are known and Microsoft is working on delivering those updates before the holiday rush.
Other changes to payroll rules are still in the works in Washington and Microsoft is waiting on final outcomes before they can start coding updates. These will be delivered closer to year end. Even Microsoft has to wait on the government.
This is also a reminder that GP 9 is no longer supported for payroll updates and won’t be getting them. If you’re in the middle of upgrading from GP 9 hurry up!

Frankly, I think that this is a great idea. The Microsoft certifications are geared toward implementing products. As a controller I manager to hire a few people who could be productive with GP on day 1 but it was hit or miss. Hopefully this can provide some reassurance that candidates actually know what they are doing in GP Payables.
Weekly Review: Copy Headings and Data from SQL
Doing data validation, database compares and other queries in SQL Server is a pretty common occurrence when working with Dynamics GP, especially during implementation. Often this involves running a SQL query in Management Studio and pasting the results into a spreadsheet or document. Many people don't know that a feature in Management Studio is the ability to copy the headings as well as the results with copy and paste.
This is not just a new feature in SQL 2008 but it works in SQL 2005, the feature is just not on by default. To turn it on, select Tools-Options in SQL Server Management Studio. Expand Query Results with the +. Expand SQL Server. Select Results to Grid and check the box "Include Column headers when copying or saving the results." Click Ok.
I felt dumb when I found this the first time but I feel brilliant every time I show it to someone else!

Wiseguy now Available for iPad, Nook and More
I’ve had some requests to make my short stories available for the iPad, specifically via iBooks. Now, Wiseguy is available for the iPad as an iBook. Simply search the book section in iTunes for Wiseguy or Polino and you’ll find it. There’s no easy way to link to it in iTunes that I can find.
Of course it’s also available as a Kindle book which can be read on the iPad, iPhone, all Android devices, Windows Phone 7, old Windows Mobile devices and the Blackberry platform.
In true Ronco style…there’s more! It’s also available for the Nook via Barnes and Noble. And its available in the epub format and more via Smashwords.
I’m excited about the availability of Wiseguy on all of these platforms because it gives me a chance to experiment with different distribution platforms in preparation for some other things I’m writing. I know that folks love to get these for free but if I’m going to put the work to format the stories for other platforms, you guys are going have to come up with 99 cents to support it.

Decisions Fall 2011 Registration
Registration is now open for the Decisions Fall 2011 conference. Decision Spring 2011 was a huge success and I’ll be presenting again at Decisions Fall 2011. For those of you who don’t know what Decisions is, it’s the largest virtual conference for Microsoft’s Dynamics products and it’s put on by my friends at MSDynamicsWorld. Registration is a whopping $0 and you find out more on the Decisions Fall 2011 site.

Weekly Dynamic: Transaction Aborted…in table ‘dbo.deleted’
We complain a lot when an error message does a poor job of leading us to the answer. I thought that I would highlight a case where the error message was right on. We had a client get the error message:
[Microsoft][SQL Native Client][SQL Server]Transaction aborted when accessing versioned row in table ‘dbo.deleted’ in database XXX. Requested versioned row was now found. Your tempdb is probably out of space. Please refer to BOL on how to configure temp.
Sure enough, tempdb had run out of space. For the acronym challenged, BOL is “Books on Line” the help manual for SQL Server. Restarting the service cleared out tempdb and allowed processing to continue.
Interestingly, we got this error in a number of different places, some folks got it when logging in, others got it while working with GL transactions. When I went to review the issue, I got two messages:
GPS Error: 85 and SQL Server Error 1101.
The GPS Error 85 can be cause by a number of things but looking up the SQL Server Error 1101 kept bringing me back to tempdb being out of space. GP was trying to tell us something, we just had to listen.

MVP Renewed
The good folks at Microsoft have seen fit to renew my MVP status for another year. All I can say is thank you to everyone who has visited the site, attended a 50 Tips presentation, followed me on Twitter or took a chance on the book.
It looks like Sivakumar got renewed as well, congratulations!
