New SmartList Resource!

I've got a new SmartList resource available. This is a front and back quick reference guide to SmartLists in Dynamics GP. It’s similar to ones you've seen at office supply stores for applications like Word and Excel. The format is designed to print front and back and is perfect for heavy card stock or laminating.

The folks who have gotten advanced copies keep coming back for more. I've decided to make it available via the website. It's $5 to download a PDF version and you can get it on the Best Practices tab.


I don't care if you distribute copies to your co-workers but this is a copyrighted product. Please don't put on the web for free. Enjoy!

Weekly Review: SmartList Sorting

When saving SmartList favorites, use a character like a tilde (~) or an asterisk (*) in front of the name to move that favorite toward the top. Prefixing the name with a “z” will move it to the bottom.

Weekly Review: SmartList Defaults

 

Most companies have a common set of annoyances with certain SmartLists. Maybe the default SmartList doesn't include return enough records by default. Perhaps the fact that the credit column has to be moved after debit column every time induces frustration. Well, quit changing SmartLists every time and change the defaults.
Pick Administration in the Navigation List on the left in GP and click SmartList Options. Then enter the system password if necessary.

The SmartList Options window will open. This is a place where an administrator can change the SmartList defaults. Find a default SmartList like Account Transactions and swap credit amount and debit amount. Remove those fields you don't use and add ones you constantly have to lookup. Don't settle, take control of SmartLists!

Weekly Review: Printing SmartLists

Sometimes you've created a SmartList and you just want to print it out. Maybe the auditors need it. Maybe your boss, coworker or the filing cabinet behind your desk needs a copy. But when you click the print icon the output is pretty ugly. Typically, too many items are forced to the next line making the printout overly long and complex or some items are squished and don't print out right. How do you fix a SmartLlist printout?

This is so easy it's scary. SmartList follows the width of the columns on the screen. It's not perfect, but it's close. If a column is only partially visible on the screen, it will typically be partially visible on the printout. If a column has a huge space after the date it can cause the next column to move down to the next line. Fortunately these reports can be printed to screen first to ensure that things will look the way you want.

Notice that the huge space after the account number forces items to the next line and Account Description is cut off.

Weekly Dynamic: SmartList to My Reports

This weeks Weekly Dynamics is one of those blinding flashes of obvious that we all miss. If you save a SmartList and make it visible only to “Current User” the SmartList is automatically added to My Reports on the Home Page.

Weekly Dynamic: Export Solutions Document Field Length

I ran into this the other day while building a SmarList Export Solution. The Document field length is 80 characters.In today’s network environments, it’s easy to get more than 80 characters in the file path.  If you use the folder icon to pick the file name, it will allow you to pick a path name longer than 80 characters and then truncate it at 80. This means the everything will look right but the Export Solution won’t work.

There’s only one good solution and that’s to reduce the number of characters by moving or renaming the file.
