- Right click on the Shortcut bar and select Add > Add Window
- Scroll down and expand Technical Service Tools
- Under Technical Service Tools, expand Project
- Click Add then click Done

Weekly Dynamic: Adding PSTL Menus
Dynamics GP 2013 is out and the Professional Service Tools Library (PSTL) are now included with the product. You no longer have to download and install them. However, you do have to add the menu to the Shortcut Bar. To add the PSTL menu:

Dynamic Future - Vote - PSTL Object Initialization

Weekly Dynamic: Copying a Company
Sometimes you want a copy of an existing company for testing or because you need a new GP company with settings like an exiting one. The Copy Company tool in the Professional Services Tools Library can handle this.
Once you fire off Company Copy you get a choice to copy from one company to another and you can choose whether or not to copy data and report options and you can choose whether to copy from certain modules. Be sure to check the help document. It will tell you what data is copied from which tables.

Weekly Review: Minimum Check Amount
Sometimes you don’t want to cut a check if it’s not at least a minimum amount. A common scenario for this is affiliate programs like Amazon’s Associates program. They won’t send you a payment until the amount they owe you equals $10.00.
In another example, when my college scholarship finished they sent me a check
for a leftover $0.25. It cost the college more to mail the check and then I had
this tiny little check that I had to go deposit.
In Dynamics GP we can can control this and only cut checks when they are over a certain amount. Contrary to your first thought, this is not the Minimum Check line in vendor setup. That is used for when a minimum payment is due to a vendor, like a credit card minimum payment.
To only cut checks over a minimum amount, you need a free tool from the Professional Services Tool Library.
First, download and install the Professional Services Tool Library. Get with you’re partner if you need help. Then check the box next to PM Minimum Check.
Now when you go into Select Checks to build a batch of AP checks, pick Additional>Set Minimum Check Amount from the menu.
In the box, make sure that Use Minimum Check Amount is marked and set a minimum check amount.

Back to our Amazon.com example. If you want to pay a group of vendors only when they are above the minimum but not worry about it for everyone else, the simplest solution is to put those vendors in a class. Then, process an AP check run for that class and set the minimum amount. For other check runs, simply remove the minimum amount and process normally.

Weekly Dynamic: POP Over Receipt Tolerance
We've covered a bunch of the now free PSTL tools. When Microsoft made the PSTL tools free they also made some other tools free including POP Over Receipt Tolerance.
This tool allows a receipt tolerance percentage for quantities. A setup window allows the user to enter a tolerance percentage, that percentage is then used when a Purchase Order is received. The highest quantity that can be received is the original quantity ordered plus the percentage amount. I think that this is going native in GP 2013 but if you need it now you can get it.
These tools are available through your partner. I've always found them to be a pain to find so I'm putting up the link here.

Weekly Dynamic: PSTL IV Reconcile
The now free PSTL Tools (I know PSTL Tools is technically redundant, Professional Services Tools Library Tools, but that's how it is commonly referred to) includes an improved Inventory Reconcile tool that only reconciles items that need it. In most cases this is significantly faster than the base tool. How much faster?
I have an example from a client. It's not a perfect benchmark but but in their admittedly slow test environment, it took 24 hours to run the base reconcile and 5 hours to run the PSTL based reconcile. The PSTL reconcile has more volatility in how long it runs because it depends on how many items need to be reconciled.
If you're running in to long IV reconcile times, check out the PSTL based IV reconcile.

Importing PSTL Data
Now that the GP Professional Service Tools Library (PSTL) is free, I wanted to highlight that you can import the settings for many of the tools. For example, in Account Modifier/Combiner you can select Import to import files to be modified/combined.
The PSTL manual indicates that you should use a Tab Delimitted file and that worked in my testing but I have had some users indicated that Tab Delimitted doesn't always work. In those cases using a CSV file did work.
The ability to import changes makes using PSTL for large changes much easier.
- Select Validate to pick the file. PSTL will validate that the information is formatted correctly.
- Click Modify to actually import the information.

Weekly Dynamic: Fiscal Period Modifier Danger
Now that the Professional Services Tools Library (PSTL) is free, more people will be using them. However, the PSTL tools are powerful and this also makes them potentially dangerous.
Here is an example:
If you open PSTL tools, check Fiscal Period Modifier and click next you get some options to change the companies fiscal periods. So far, so good.
If you hit Setup Periods in Step 1 you will wipe out your current fiscal periods without warning.
Oops. Yeah. When I did this it was a pain in neck to fix the TWO company. I can't imagine doing it accidentally to a production company.

Weekly Dynamic: Receivables Management Unapply Tool
For years now I've been recommending the use of Paid Transaction Removal for AR to move paid items to history and improve both AR and Collections management performance. One of the problems with this approach is that it it's difficult to unapply a payment after Paid Transaction. Now that the Professional Services Tools Library is free, this gets to be a whole lot easier.
PSTL includes a Receivables Management Unapply tool designed to unapply payments from the history table and allow user to apply them to other transctions.
The tool is really easy to use, simply run the Receivables Management Unapply tool, enter the Customer, find the item to unapply and an uncheck the box. The system will ask if you really want to unapply or just see a report. Indicate that you want to unapply and that's it.
A report does print with specifics. There are a few caveats and specifics around discounts, writeoffs and Multi-currency so be sure to read the help file included with PSTL.
