Weekly Dynamic: Automatically Refresh Excel Reports

Microsoft Dynamics GP provides a great set of refreshable Excel reports. These are live reports, in Excel, connected to GP data. Even cooler, once you've got a report in Excel you can set it to update automatically.

  • Once the Excel reports are deployed, go into Dynamics GP and select Financial from the Navigation Pane.
  • Above the Navigation Pane select Excel Reports
  • Double click the Account Transactions report in the Navigation List in the middle. Excel will open up with an Excel report.
  • Click Data | Connections | Properties to open the Connection Properties window.
  • Here are all of the refresh settings:
    • Enable background refresh - typically you want this checked
    • Refresh every X minutes - checking this and setting the number of minutes will force the sheet to get new data from GP on that interval. For example, if it's month end, you could set this to every 15 minutes to update your analysis new data is posted.
    • Refresh data when opening the file - every time you open the worksheet, it pulls in the latest data
    • Refresh this connection on Refresh all - typically you want this check so that it will refresh with the Refresh all button.

With the power of Excel and Excel reports you can refresh GP data on your terms.

Frequently asked questions about the Excel Reports in Microsoft Dynamics GP 10.0 and 2010

In a new DynamicsCare post, I’ve highlighted a support document with Frequently asked questions about the Excel Reports in Microsoft Dynamics GP 10.0 and 2010.

This is by far the most complete document I’ve seen on using and deploying the core Excel reports in Dynamics GP. Thanks to Dynamics GP Land for pointing it out.

Weekly Dynamic: Exporting Data for Other Systems

Recently I’ve had a number of requests for regular processes to get data out of Dynamics GP for integration to other systems. The export formats were all over the place including CSV, fixed length and pipe delimited (|).

In all cases there have been common elements to the exports, they want them to be user initiated. There have also been common elements to the solution, Microsoft Excel.

In one case I used SmartList Builder to create a SmartList with everything we needed to export, then I used a SmartList Export Solution to provide a button for the user to export the data to Excel and activate an Excel macro to format and save the file.

In another case, the client didn’t own SmartList Builder so I used a refreshable Excel report to get the data we needed an then used a macro to format the export.

With the power of Excel, getting data out to other systems becomes easy.

Weekly Review: Excel Reports

The new Excel reports in Dynamics GP are really pretty cool and you don't need MOSS 2007 to play with them. You can use a network share to let your organization do a little Excel reporting.

To setup the default reports you need to do 2 things, deploy the connector and deploy the reports. Here's how:
In GP 10 pick Microsoft Dynamics GP-Tools-Setup-System-Reporting Tools Setup. Enter the system password if required.
Pick the Data Connections Tab

In the System Level Data connections box enter a shared network location to deploy the connectors to.
Do the same thing for the User Level Data connections. This can be a local directory.

Check Enable Data Connection Deployment. Check Deploy Data Connections for all existing companies if you want to run Excel reports off all your companies. Otherwise, when you deploy, you'll have to pick a company.

Click Run Deployment

Print or Cancel any reports and move to the Reports Library Tab.

Fill out the same type of information, Network location to deploy shared reports, local location for user reports, check the enable box and if you want to deploy for all companies, check the Deploy box.

Click the Run Deployment button. Print or cancel any reports.

You're done, now what?

You can navigate to the shared location from the Reports Library Tab and open one of the Excel reports. Even better from within Dynamics GP, go to the Navigation Pane on the lower left and pick Administration or the Administration tab. Click on Other Reports and wait for them to load.

Pick a report and double click it. The report opens nicely (and quickly in Excel). You may need to enable data connections. If a box pops up, enable data connections and go on.

In Excel 2007 the report shades every other row and provides filter handles on each column.

That's enough to let you play with it a little. I'll have more on GP 10's Excel reports and the cool things you can do with the connectors later.
