Weekly Dynamic: PDF Output

When you print to the screen, Dynamics GP gives you the option of outputting the file to PDF. But there are some issues with this. First, you have to have Adobe Acrobat (not just the reader) installed on each machine where you want to print to PDF. This is a pricey requirement.
Secondly, you have to have the right version of Acrobat. When Adobe releases a new version it typically breaks the GP functionality. To make things worse, Adobe tends to be bad about announcing when a new version will be released, not mention that GP and Adobe releases rarely coincide.
If you don't have the right version of Acrobat installed, your PDF option is there, but grayed out, teasing you with the functionality. I wish GP would add an internal PDF printer like, I can't believe I'm saying this, the latest version of Quickbooks. Until that happens though, you have some options.
Your best option is to get one of the free or inexpensive PDF printers available on the web. Apps like CutePDF or PDF Factory come in free and pay flavors, depending on the options you need, with the pay versions costing between $40 and $50 per license, much less than Acrobat. On top of that, these little apps tend to be faster and more stable than the Adobe offering, meaning less support.
You will still have that little gray out Send to PDF link though. All of these apps work through a printer driver so they look just like another printer to the system. Until GP adds its own native PDF print driver, these apps are your best bet.
Update (2/5/07) : I missed the fact that MS included BCL's easyPDF on the FRx install CD. It's listed in the prerequisites section of the CD. easyPDF functions the same way that CutePDF or PDF Factory work, you still don't get "Send To" functionality from the print preview screen in Dynamics GP but at least you don't have to go looking for an app. (Thanks to Richard Whaley of Accolade Publications for pointing that out on the GP Newsgroup .)
