Weekly Review: Proper P.O. Closing

 

An awful lot of folks close Purchase Orders the wrong way. The scenario is this: A P.O. remains partially open due to a vendor's inability to deliver goods in a timely manner. The firm finds an alternate supplier and cancels the P.O. with the vendor. To cancel the P.O. out of GP, they change the quantity on the P.O. line to match the quantity delivered and close the P.O. The problem with this scenario is that it removes visibility into the vendor's performance.

A better way to accomplish this is to put the remaining amounts in the Quantity Cancelled line. This will enable closing the P.O. and provide a history that the vendor didn't deliver. Now Smartlists or other reporting can be used to compare the delivery performance of various vendors and allow businesses to make intelligent sourcing decisions.

ERP Knowledge Base Articles made public - Microsoft Dynamics AX UK Blog

Yeah, you saw that headline right, I read AX blogs too. I need some humor in my life. In this case though, the Microsoft Dynamics AX UK Blog beat everyone to the punch. It seems that Microsoft has chosen to make all of the Dynamics ERP Knowledge Base Articles  public on http://support.microsoft.com.

This change will allow search engine indexing of Knowledge Base content making it easier for everyone. I’ve already added http://support.microsoft.com into the MyGPSearch custom engine for Dynamics GP. Now when you use MyGPSearch you’ll get blog results, newgroup results and official support answers.

I’m hoping this means that we can quit complaining about CustomerSource search features and move on to complaining about more important things…like why they don’t serve Diet Mountain Dew at Convergence.

You, Me and GPUG Academy

My friend, competitor and lover of a football team who once wore creamsicle uniforms, Bob McAdam has been doing some great guest blogging here at DynamicAccounting.net.

As much as it pains me to admit that Bob is right about anything, he is absolutely right about the GPUG Summit and GPUG Academy.

For those of you thinking about going to the GPUG Summit take a look at the GPUG Academy too. Sometimes, a conference session just isn’t enough to adequately cover a particular topic. Sometimes people don’t learn well without being about to try things for themselves. That’s what GPUG Academy is all about.

GPUG Academy is providing classroom learning options immediately before the GPUG Summit. For example, I’m teaching a 4 hour class on Administration Made Easy for Dynamics GP. No this is not a 1/2 hour of handing out business cards and saying call me followed by 3 1/2 hours of beer. That’s what parties are for after the sessions. This class has serious, hands on tips for administering GP using your laptop and a virtual GP environment. It’s hands on, down and dirty.

There are a bunch of sessions available but enrollment is capped to ensure appropriate personal attention. You’ll need to hurry to get the class you want. If you want personal attention in Bob’s class, wear an ugly orange jersey with “Williams” on the back.

Weekly Dynamic: Update User Date

In the past we’ve talked about what happens when GP is open after midnight. By default, a window opens asking if you want to change the date to tomorrow. You can turn that off with a Dex.ini switch:

SuppressDateChangeDialog=TRUE

This suppresses the date dialog but doesn’t update the date. If you want to update the date silently instead you need the Update User Date utility, a free utility that is part of the Professional Service Tools Library from Microsoft.

Activating this tool will update the date silently after midnight. You do need to have SuppressDateChangeDialog=TRUE set in the Dex.ini file too.

iSight 2011 Recap

We wrapped up iSight 2011, I.B.I.S.’ annual conference, yesterday in Atlanta. Both Atlanta and Charlotte were again big hits and I was reminded of how many great clients we have.
The Best of 50 Tips in 50 Minutes for Dynamics GP was big hit with some of the tips reinforced by recent CFO.com and Journal of Accountancy articles. Frankly some of these tips can put you way ahead of where the average accountant is.
A few comments I overheard while eavesdropping:
“I’ve seen every 50 tips presentation and I still came away with about 20 tips”
“That was the best tip ever”
The 50 Tips go on the road to Las Vegas in November at the GPUG Summit. Now is the time to sign up.

Microsoft Dynamics GP 12 and Silverlight

I was deeply embedded at iSight, our customer conference, over the last two and that gave me opportunity to get some perspective on a little GP 12/Silverlight controversy that popped up without posting rashly.

First MSDynamicsWorld chimed in with Microsoft Dynamics GP 12's Silverlight Plans Unchanged Despite Windows 8 Plug-In Limitations

Then Microsoft clarified with Microsoft Dynamics GP 12 Our Windows 8 Vision.

Here are my thoughts:

  • It’s not unusual for the Windows team to be way ahead of everyone else. Even the Office team has gotten caught in the past.
  • There is a lot of confusion in the marketplace around what will run on a Windows 8 Desktop vs. a Windows 8 Metro UI interface and what will run on an Intel tables vs. an ARM Tablet (and possibly a phone).
  • If every team at MS changed course mid stream every time a new direction was announced nothing would ever ship and to quote Robert Scoble “Shipping is a feature”. The classic example of this is of course the video game Duke Nukem Forever which took a whopping 14 years to release because they were “Forever” chasing the latest and greatest game engine only to see the release immediately panned.
  • I think Silverlight is a good choice for GP 12. It’s also kind of funny that after years of picking on Dexterity for being old we now see folks picking on Silverlight for not being new enough.

Frankly, with what I have seen of GP 12 so far, it’s going to do 2 things:

  • Totally rock when released
  • Well position the product to move forward

Weekly Review: Force Shortcuts on Users

f you're a forceful, take charge kind of person this tip is for you. When logged in as SA an extra item, User Classes, appears on the Shortcut Bar. Adding a shortcut to a User Class automatically makes that Shortcut available to that User Class. Even better, users can't remove these special Shortcuts. This is a great way to ensure that a class of users has a consistent set of GP windows, smartlists, web pages and external shortcuts at their fingertips.

Weekly Dynamic: POP Reference

In the POP windows with distributions (Shipment, Ship/Invoice, Enter/Match Invoice) there is a Reference field. This defaults to the transaction type but it can be changed. This reference passes through to be the reference field in the GL Transaction and can help provide additional information for folks starting with the GL.

According to the help documentation, this is also supposed to flow down to the distribution reference field in the GL if the distribution reference is blank, but it doesn’t. From the help:
Purchasing Invoice Distribution Entry window: Fields
Reference
Displays the reference that will post to General Ledger as the reference for the receipt. Purchasing Invoice Entry is the default reference for this field. If the Distribution Reference field for an account is left blank, the reference entered in the Reference field will post as the distribution reference. If you change the reference in the Reference field, that change will only affect those accounts that don't have distribution reference entered for them when the invoice is posted.
What actually happens is that the account category rolls down as the reference. I’ve submitted a request via Microsoft Connect to have GP work as documented. You can vote for this request to move it up the priority chain and put it on Microsoft’s radar at: http://bit.ly/rnVYwM.

Weekly Review: Internet User Defined Fields

The Internet fields in Dynamics GP are actually user defined fields located in company setup. This makes it easy to change say the Image field to be a second web address.

Select Tools-Setup-Company-Company, Internet User Defined and simply change the labels to fit the needs of your business.
