Put away the Defibrillator, “Dynamics Live” is Just Fine

Three years ago I took a whack the Dynamics Live site, dubbed “My Space for Financial Professionals” by the press, and concluded that it was on life support. What a difference three years makes. Now My Space is on life support, Dynamics Live is now the Dynamics Community and it appears to be thriving. I take a full look at how Dynamics Live managed to survive, recover and now thrive in my new article up at MSDynamicsWorld.

Fixed Assets “History” Report

Omar takes a shot at SQL code to try to replicate some Fixed Assets History data. The problem is that Fixed Assets doesn’t really keep complete history so getting all of the information is problematic.

Weekly Review: Comments without a Comment ID

In many GP transactional screens you can input a comment. The comment functionality was intended to be used for repeating comments (things like "Remember to send your invoice to our new address", "Thanks for your business", etc.). Consequently comments have a comment ID to reduce keying and allow for consistent verbiage. It's easier to key or default "Thank1" than "Thanks for your business".

Since comments print on most default documents, their use often evolves into one time customer comment use, in place of consistent repeating comments. Things like ("Red gromets shipped in place of black gromets"). However, if you create a comment ID for each comment ever made on an invoice, order or P.O. you're soon drowning in comment id's.

Well in case you missed this functionality, you can skip the comment ID altogether. Simply click the blue arrow next to a blank comment id. Create a comment without ever entering an ID and you've got a nice way to provide one-time communication to your customers or vendors. These comments print just fine on orders, invoices, P.O.'s, etc.

This also allows easy separation of external facing notes (the comment) and internal facing notes (the note field). Also, since comments are already sent to print on default documents you don't have a bunch of modifications to do. No linking tables to add the notes field to a report.
So there you have it, "Thank you and have a nice day!".

Well, it took 5 months, but more people have downloaded the two sets of 50 tips from Convergence 2010 than saw it live. The newest set of 50 tips is ready for the GPUG Summit in Orlando and will complete the 50 tips trilogy. It would be useful to review the first two sets so that you can see that there are no overlaps when you see the new set. That and the chances are slim that you’ve put the first 100 tips into practice so it’s worth reviewing them again.

If you want to review the original two sets of 50 tips you can grab them on the right side of the DynamicAccounting.net home page. Additionally, the Microsoft Dynamics GP 2010 Cookbook is really an extension of these tips with all of the details fleshed out, step by step instructions and additional information and options.

Partner Connections

It's not enough for a teacher to be one day ahead of their students. (Though I've done it!) It's also not enough for partners to be one day ahead of their clients. With blogs, Twitter, Facebook and video clients are learning faster than ever. Partners need to update their skills as well. A great place to do that is at Partner Connections in Orlando, a couple of days before the GPUG Summit and yes, I get the irony of that. Microsoft Dynamics ERP Licensing Changes

David Musgrave takes a look at Microsoft Dynamics ERP Licensing Changes.  I’m going to say that on a personal level, there are elements of the new licensing that I find to be a naked cash grab by MS. Customers screamed about the DCO licenses and rather than deal with customer anger, MS renamed them to make them sound more appealing. Accessing GP data with other tools should be covered by other licenses, the SQL CAL, the Office CAL, etc.There is no good reason to allow access other data in the same location with these licenses but not cover Dynamics data. Companies have already paid for access to this data, there is no reason for them to have to pay again.

Weekly Dynamic: Fast Access to Integrations in Dynamics GP

A common scenario with integrations is that some users only run them on a periodic basis and it’s tough for these user to remember how to access Integration Manager. Conversely there may also be a set of employees who regularly run integrations and would like fast access to IM.
A simple solution for both scenarios is to add IM to either the Shortcut Bar or the Menu Bar. On the Shortcut bar, add an external file and find IMRUN.exe to add the ability to run integrations. On the menu bar, right click to customize and Run Integrations… from the Dynamics GP | Tools tree.

Weekly Review: IM Tip, Key a Transaction

I was wrestling with a SOP integration recently. I had to use the old style adapter for Integration Manager because some fields I needed are missing in the econnect adapter. The integration would start, process a few records and fail, crashing IM and not writing to any logs.


This is a an effective way to learn new expletives.

To complicate things, the source was a really complex SQL query from a non-GP database. Also, the integration wasn't failing on the same record each time. Records that failed one time would integrate the next and the process would fail on another record. (aside: son of a motherless goat is good expletive to use here. Extra points if you can name the movie it's from)

I was ready to drop everything to a CSV and test it that way but that would have been time consuming and not fun.

My colleague who keeps claiming that she's "non-technical" but who keeps solving my technical problems sat down and we walked through keying an entry. The problem was subtle but we found it.

I was forcing the Ship To information into the integration (not necessarily using a ship to address id) because I wanted to make sure that the ship to data was right even if the address wasn't setup for that customer. But I had Ship To Address set to default. The problem was that Ship to Address wasn't defaulting so there was no ship to information to change when I forcing in data.

I've found lots of Integration Manager issues by keying integration transactions in the past but usually they stand out. This one was more subtle so even though I've given this advice before and thought I had done it here, I'll say it again. If you are having IM trouble, key one transaction from the integration. Key every step. Don't skimp. Don't say "oh, I know how that works". Key it. Do it now!

Is The New PartnerSource Search a Complete Dud?

In the past I’ve publicly offered to help grab someone from the Bing team or rival Google and tie them to chair until search is fixed in PartnerSource. I’ve talked to members of the team, nicely and …um… we’ll leave it at that. It gets better for a while and then it gets worse. Site search improves and Knowledge Based search gets worse. I have no answers.

I guess they could put a pretty background in back (a la Bing) so we’ll all feel better when we don’t get the results we want.

Weekly Dynamic: Segregation of Duties Tool

While not strictly a Dynamics GP tool, AuditNet.org has a great, free Segregation of Duties Tool. This Excel tool allows a company to enter a person or role and then check off what that person can do. The tool then figures out where the segregation of duties conflicts lie. This is a fantastic starting point for working with GP 10 or 2010 security to help figure out what user roles should be and what access they should have. Having this as a starting point really makes setting up and documenting GP security easier.

The Software Testing Disconnect

Steve Endow digs deeper into Dynamics GP certification and it’s application to the real world in his new post The Software Testing Disconnect. I’ve taken the GP 2010 Install exam and Financials exam and I agree with Steve. The Install exam was well updated to accommodate SQL 2008 and new install features. The Financials exam didn’t seem to be updated at all. I’ve got the 2010 Project and Distribution exams tomorrow so we’ll see how those go.

Weekly Review: SOP to POP with a Service Item

I ran into an interesting scenario when this article was first written.

A client (who we'll call X) provides a device to it's end user companies and provides services around that device. At the end of the service term, the end gets to keep the device. Because of this, some end users ask to purchase a manufacturers extended warranty through client X.

This an interesting example of the SOP to POP functionality. Client X is shipping a device from their warehouse but the addition of the warranty, requires Client X to actually purchase the warranty from the manufacturer at the time of sale.  It's essentially a near time process since delivery of the warranty is virtual. We looked at using SOP to POP functionality to create the PO for the warranty and kept running into a problem. We couldn't push the service item to a P.O.

My first concern was that this was a limitation in GP but after talking to support, we found the issue. We hadn't marked allow backorders on the item record. After all, when we setup the service items, why would we need to back order a service right? Doh!

So the ultimate solution was to fix the appropriate service item records to allow back orders, enter the warranty in SOP, change the Quantity from Ordered to Back Ordered and create a P.O.

Part of our problem with this was that the issue came up very late in the project and we didn't have enough time to really sit and evaluate all the possible settings that could be causing us problems, but now I know where to go look first the next time.

Weekly Dynamic: Defer Accounts Payable Transactions

Previously I worked for a company that purchased content. We would buy video, like TV shows, and have the right to use them for a period of time. We would often have to pay up front and then need to spread the expense over say, a year. Well, not only is this easy to do in Dynamics GP, it can be done at the point of the AP invoice. This is great for things like insurance too.

In this example, we’ll use the Profit and Loss option in Deferral setup. This setting let’s the user enter ultimate expense account and then defer the transaction.

To make this happen in AP:

  1. Enter an AP transaction
  2. Click the distribution button
  3. Select the Expense line to defer
  4. Select Additional | Deferral from the menu at the top
  5. Set the End of Period date, Method and Deferral account
  6. Click Ok

Dynamics GP will adjust the transaction to move the expense to the deferral account and then it will create and post transactions to recognize the expense in the future. It doesn’t get much easier than that.

If you have an existing SmartList Builder SmartList and you want to copy it as a template for a new SLB SmartList, you can follow these steps:

With SmartList Builder Open and the definition of the SmartList to be
duplicated loaded, click Extras >> Tools >> Duplicate and Type the new ID.

I’ve actually got a beagle not a pug but since GPUP has nothing to do with dogs and everything to do with Dynamics GP I’ll be at the GPUG Summit in Orlando, October 25-28. Speed Certification Exams for Dynamics GP

Like many of us, Steve Endow is racing to finish certification exams. Four new GP 2010 exams were released mid August and we’re all racing to have them done before 10/1 when new certification requirements for partners goes into effect. Steve followed Christina’s advice and tried taking the actual exam quickly. My exams tend to work the same way. If I’m really prepared, they take about a 1/2 hour or so. I’ve four scheduled over the next two weeks to squeeze in around work, travel and presentations so I feel Steve’s pain.

Weekly Dynamic: Speed Date Entry with only the Day

Todd McDaniel reminded me of a little tip recently. In any date field in Dynamics GP, simply enter the day and tab off. the system will fill in with the month and year from the current system date in Dynamics GP. This is one of those tips that is so simple that it's easy to forget that it's there.

For partners a new VPC image for GP 2010 is now available. This includes Management Reporter and should make basic demoing and testing easier than trying to figure out how to run Hyper V on your laptop. Weekly Review: Excel Reports

The new Excel reports in Dynamics GP are really pretty cool and you don't need MOSS 2007 to play with them. You can use a network share to let your organization do a little Excel reporting.

To setup the default reports you need to do 2 things, deploy the connector and deploy the reports. Here's how:
In GP 10 pick Microsoft Dynamics GP-Tools-Setup-System-Reporting Tools Setup. Enter the system password if required.
Pick the Data Connections Tab

In the System Level Data connections box enter a shared network location to deploy the connectors to.
Do the same thing for the User Level Data connections. This can be a local directory.

Check Enable Data Connection Deployment. Check Deploy Data Connections for all existing companies if you want to run Excel reports off all your companies. Otherwise, when you deploy, you'll have to pick a company.

Click Run Deployment



Print or Cancel any reports and move to the Reports Library Tab.

Fill out the same type of information, Network location to deploy shared reports, local location for user reports, check the enable box and if you want to deploy for all companies, check the Deploy box.

Click the Run Deployment button. Print or cancel any reports.



You're done, now what?

You can navigate to the shared location from the Reports Library Tab and open one of the Excel reports. Even better from within Dynamics GP, go to the Navigation Pane on the lower left and pick Administration or the Administration tab. Click on Other Reports and wait for them to load.



Pick a report and double click it. The report opens nicely (and quickly in Excel). You may need to enable data connections. If a box pops up, enable data connections and go on.

In Excel 2007 the report shades every other row and provides filter handles on each column.

That's enough to let you play with it a little. I'll have more on GP 10's Excel reports and the cool things you can do with the connectors later.

Blog Background Change – Teal to fight Ovarian Cancer

I’m changing the blog background early this week. The background is going teal in support of my sister in law who is fighting ovarian cancer. Friday, September 3 is National Tea Time in support of the fight against ovarian cancer so the blog will be wearing teal for the next 10 days or so.
