On a side note, there has been a proliferation of 50 Tips sessions at Convergence this year. I started something 2 years ago, the SL folks followed suit last year with a very successful 50 Tips session for SL and now we have an explosion of sessions. The competitor in me thinks that this is going to be fun. The presenter in me wonders if it’s time to go deeper into a topic next year to stand out from the crowd.
Sometimes you don’t want to cut a check if it’s not at least a minimum amount. A common scenario for this is affiliate programs like Amazon’s Associates program. They won’t send you a payment until the amount they owe you equals $10.00.
In another example, when my college scholarship finished they sent me a check for a leftover $0.25. It cost the college more to mail the check and then I had this tiny little check that I had to go deposit.
In Dynamics GP we can can control this and only cut checks when they are over a certain amount. Contrary to your first thought, this is not the Minimum Check line in vendor setup. That is used for when a minimum payment is due to a vendor, like a credit card minimum payment.
To only cut checks over a minimum amount, you need a free tool from the Professional Services Tool Library.
First, download and install the Professional Services Tool Library. Get with you’re partner if you need help. Then check the box next to PM Minimum Check.
Now when you go into Select Checks to build a batch of AP checks, pick Additional>Set Minimum Check Amount from the menu.
In the box, make sure that Use Minimum Check Amount is marked and set a minimum check amount.
Back to our Amazon.com example. If you want to pay a group of vendors only when they are above the minimum but not worry about it for everyone else, the simplest solution is to put those vendors in a class. Then, process an AP check run for that class and set the minimum amount. For other check runs, simply remove the minimum amount and process normally.

The Summit Group helps clear up Confusion about Microsoft Dynamics GP Payroll Tax Update.
Leslie Vail lets us know that the Update path is back for 9.00.0388 to GP 2010. There were some issues with the new payroll tax update but it’s now possible to update from GP 9 to GP 2010 again.
Here’s the scenario: in POP you go to match an invoice but you can’t quite get quantity and unit price to equal the extended price you need to match too. Usually this is because there aren’t enough decimal places defined for quantity or unity price.
The fix for this is easy. Set the quantity and force the extended price field to be what you want. GP will automatically adjust the Unit Price. This works even if there aren’t enough decimal places defined, GP still forces the unit price and deals with the decimal places behind the scenes.
This also works for P.O.’s, Receivings and SOP transactions. It’s also a great way to make sure integrations are right. Integrate the quantity and extended price and let GP figure out the unit price.
Microsoft has added confirmation of CPE credit availability to the Frequently Asked Questions page on the Convergence website. Specifically, it’s under General Logistics. Please make sure to tell a Microsoftie that you appreciate them adding back this benefit when you’re at Convergence.
Lisa Armstrong reached out to me months ago inviting me to the first Washington, D.C. area GPUG chapter meeting. I couldn’t make the meeting but wanted to do something to help promote it. So I sent Lisa a Microsoft Dynamics GP 2010 Cookbook to give away and we worked out a way for me to send a video with GP tips to help provide meeting content. That’s about all that went right.
I built a custom 20 Tips in 20 Minutes for Dynamics GP presentation that looked awesome. I recorded the presentation and saved it off in a location that Lisa could get at and went on my merry way. Lisa calls yesterday to say the video is cutting off at 11 minutes. I rerecorded it last night after multiple tries but the resulting file is simply too large to send via hotel wireless. But hey, consultants are problem solvers so we work out to do a Live Meeting presentation and I’ll just deliver it live. What could go wrong?
Well, there can be problems with the speakerphone. The phone call can drop in middle forcing them to use a cell phone held up to a microphone so you can be heard. The web connection can drop on the last tip of the end of the presentation. The world can fold in on itself. Ok maybe that last one didn’t really happen but you get the idea.
And we do what we always do. In spite of surprises, we figure out a way to make it work. Whether it’s a project or a webinar or a demo that blows up.
The GPUG members in D.C. were extremely gracious despite the technical difficulties. They seemed to have had a full house and were in good hands with Mark Rockwell of Rockton Software and Jon Rivers of Data Masons in attendance. Thank again to Lisa for giving me the opportunity to help.

The good news from Convergence just keeps coming. I got word today that the Microsoft Bookstore at Convergence 2011 will be carrying the Microsoft Dynamics GP 2010 Cookbook. Of course, if you buy it today you don’t have to wait 2 months and you won’t have that extra weight in your luggage on the way home. Plus when you see people all excited about the book at Convergence you can act all cool like “eh, I’ve had that for months. My GP system is so smooth I’m just here to see Atlanta”. I’m just sayin’.

The good folks at Microsoft have launched a new Microsoft Dynamics ERP Focused YouTube Channel. I confess that when I saw this I hoping for more things like learning snacks and less company profiles but hey, they have to sell software.
Technology people can ignore this post. This is for the accountants in the room. Companies that outsource service portions of their of their business (think Payroll to ADP) have requirements around ensuring the controls in place at those organizations. Previously a SAS 70 Audit was used to report on internal control at service providers but there were lots of problems with that. Companies misrepresented the value of a SAS 70 audit in sales literature calling themselves SAS 70 compliant when there was really no standard to comply to. As a result of problems and the growth of new outsourcing options like cloud computing the AICPA is replacing SAS 70 with Service Organization Control Reports.
What does this mean to you as a GP user? It means that as you look at ISV outsourced solutions and other outsourcing options that may plug into Dynamics GP it’s time to start looking for SOC not SAS 70. If your vendor gives you a blank stare when you say SOC send them to http://www.aicpa.org/InterestAreas/AccountingAndAuditing/Resources/SOC/Pages/SORHome.aspx and then maybe get a little nervous about the vendor.

Over the weekend I got some time to really fine tune the MyGPSearch.com search engine for Dynamics GP. In addition, I added a Bing option as a supplement to the Google based custom search engine. Google and Bing approach custom search in VERY different ways. You won’t necessarily get different results but how they path they take to setup custom searches is dramatically different. Bing’s options are not as customizable and as a result may return broader results which may not always be as relevant. Also, the way Bing delivers the results precludes me from adding it to the mobile sites…for now.

What’s a Forecaster Data Transfer Tool you ask?
This tool will transfer budget data in Forecaster to the budget tables in Dynamics GP, (or Dynamics SL or Dynamics AX but who cares). Once the data has been transferred, the data can be reported against in Management Reporter.
With the release of Victoria Yudin’s new book, Microsoft Dynamics GP 2010 Implementation, books about Dynamics GP are starting to see some real momentum. I thought it would be fun to interview Victoria about her book so we did a little email interview so that you can get to know Victoria and learn more about her book. (I know that you all know who she is but maybe there’s a jealous Dynamics AX person in the back wanting to know more about GP)
1) First, congratulations on your new book, Microsoft Dynamics GP 2010 Implementation. I’ve read it and it’s a great resource on Microsoft Dynamics GP. Can you tell me how the book came about?
Thank you very much! The publisher of the book, Packt Publishing, approached me about writing a book on a Dynamics GP topic. They had a few different topics in mind and a few people they were talking to, and wanted to know if I was interested. We decided that the best topic for my particular skill set and experience would be implementation of Dynamics GP, specifically geared towards the small to mid-size company.
I was a little reluctant about taking on this project at first. While I had written several articles and blog posts in the past, I had never written a book before. I suspected it would be a pretty serious time commitment and I wasn’t sure how this would work while at the same time running Flexible Solutions. In addition to our regular Dynamics GP work, we recently released our first ISV product, GP Reports Viewer, and I wanted to make sure that I would be able to give enough time and attention to everything. In the long run, after discussing this with my family and colleagues, I decided that writing this book was something I really wanted to do. The more I thought about the prospect of writing a book and talked about it with others, the more excited I got about it.
Now that it’s done and the book is out there, I can tell you that I certainly did not overestimate the time commitment, but it was an extremely interesting and educational experience and I am very grateful to have been given this opportunity. The feedback I have received has been amazing and very rewarding.
2) Who is the target audience for this book?
The target audience for this book is pretty broad. While keeping in mind that the goal was to provide a GP implementation guide for small to mid-size businesses, I really tried to provide a lot of value to just about any Dynamics GP consultant and technical user. I think even longtime Dynamics GP consultants can benefit from the sections that go over every single field on all the setup windows. Anyone that has not used Integration Manager, or needs some help getting started with it, can benefit from my chapter with examples on setting up a few of the typical imports.
I personally find that I am using my installation chapter for every new install I do. I also find myself referring to the book quite often for finding various pieces of information. Yesterday I used it to find the link to the Microsoft support wizard and the location of the file to create a 32-bit ODBC on a 64-bit computer. The eBook version is great for being able to do searches like this.
3) What makes this book special versus just using the Dynamics GP Manuals?
Let me start off by saying that I think Dynamics GP manuals are some of the better written software manuals I have seen throughout my career. My book is not meant to replace them so much as to augment them. There is not one manual out there that will take you through a complete implementation process, which is the goal of my book. In some cases, I tried to condense the information readers would need to check for in 5 different manuals into one place. In other cases, I added information and links from PartnerSource and CustomerSource, Dynamics GP blogs and Microsoft’s website to provide my readers with a much more complete set of resources than they can get from the manuals. I also tried to provide some real-life examples of when to choose certain options as well as some recommendations based upon successful implementations we have worked on.

So lets say that you run the GL post routine in Fixed Assets for Dynamics GP. We all know that this creates an unposted batch in GL. What if someone deletes that batch by mistake? Think about the thousands of depreciation line entries that could be in that file, now they’re gone. Not so fast. After a related incident at a client, Microsoft sent a us script to allow recreation of the GL batch. With their permission I’m reposting it here. Just to be clear, if you don’t run separate GL posting routines for additions, retirements and depreciation, this won’t let you undo that. You’ll still get one big file to sift through. But, if you run the GL routine to process additions and while you’re working on retirements someone whacks the unposted additions batch, you’re not stuck.
Delete batch prior to posting then run this script. Afterward, rerun the GL Posting routine.

On a related note, we had a client going live with Fixed Assets. One of their people was supposed to run the GL Posting interface through 12/31 and then delete batch prior to posting. This would take care of all of the integrated assets which were already in GL. They didn’t. When the first depreciation was run in January we got all the FA additions plus all of the fist month’s depreciation. This script bailed us out. We deleted the batch and reran the posting routine through 12/31. This created a batch of additions which we deleted. We then ran the GL process through 1/31 and got a batch with just January depreciation.
Many people were disappointed by Microsoft’s decision not to offer Continuing Professional Education (CPE) credits for Convergence 2011 sessions. I reached out to MS, as did a number of other folks, to try to get them to change their mind. We went back and forth as MS worked to understand the implications, options and possible solutions around offering CPE. I can say definitively that MS listened and responded with great questions. As result, CPE is back on for Convergence 2011! I’ve got more details up at MSDynamicsWorld.com so hit up my CPE article there and then make sure that your are registered for Convergence 2011 in Atlanta.
I’ve talked to a number of speakers and we’re all working really hard to deliver killer value to you. Everyone is looking to take things up a notch. Microsoft has proven again that they can and do listen. Convergence is place to let MS know what you want from Dynamics GP and the place to figure out how to get more out of it today.

The latest DynamicsCare webinar video is out. Chaz Vann takes a look at Inventory and Cycle Counts for Dynamics GP.
Start by entering the new item number and then press the copy button at the top of the form. A new form will pop up asking you to select which item you wan to copy from and allow you to choose whether or not to copy things like the price list, site assignments, vendor and currency assignments.
Once you click copy, you get a new item that let's you make whatever changes you want. You'll probably want to adjust the description at a minimum but much of the tedium (Price Lists, List Price, Site Assignments) is already done for you.

Writing at DynamicsCare, Dwight Specht tackles a really obscure issue with Analysis Cubes: Conversion failed when converting Date and/or Time
It’s not unheard of for someone to make a mistake with depreciation. Maybe an asset was put into service early for example. Well if you need to undo depreciation for a single asset in Dynamics GP it’s very easy. Simply go to the Routine for Depreciate One Asset, select the asset to undo depreciation for and set a new depreciation date. So if an asset was depreciated through 2/28/11 and you need to put it back to 1/31/11 set the depreciation date to 1/31/11. GP will warn you that the depreciation date is earlier than the depreciated through date and this will back out depreciation in GP. Once depreciation is processed the subledger is updated and a reverse GL transaction is created when the GL Transaction routine is run.
This works great for a single asset and is really easy to do. So what happens if you accidently mess up a complete depreciation run? Microsoft support has a script that can undo a depreciation posting. I’m working on getting permission to post the script. Until that happens you can contact Microsoft support and they’ll send you the script.

If you're working in Dynamics GP and you realize that you need a P.O. that looks a lot like one you did last week, don't re-key all those lines. Use the Create and Copy New PO button under Actions.
To get there, go to Transactions->Purchasing->Purchase Order Entry. Click the Actions button and pick Create and Copy New PO. A window will pop up asking for the source P.O. and then you get to tailor the new P.O. that gets created. You can set the Vendor, Currency, Customer, Dates, Sites and Cost options.

I know that a few of think that I’m crazy. (You are correct.)
Some of you think I don’t sleep. (I sleep just fine on the 5:30 am flight to Atlanta most Monday mornings, thank you very much).
But the truth is that the creative process often creates more creativity. Yes there are periods of drought where I think that I’ve run out of ideas. Usually that means I need a break. Then there are times where I can’t stop the flow of ideas and I get frustrated because I can’t do everything at once.
Well, it’s drinking from the fire hose time in the little idea factory in my head so I’ve got a new, monthly guest column starting over at Dynamics Communities. We’ve got a really tight premise for this column. It’s titled Mad Mark, the GP Road Warrior and I’m going to tackle stories from road. The idea is to look at what actual users are doing with Dynamics GP. I’ll cover the good, the bad and maybe even some ugly. Since we’re doing movie references, I’m throwing in random ones.
