Weekly Review: Printing SmartLists

Sometimes you've created a SmartList and you just want to print it out. Maybe the auditors need it. Maybe your boss, coworker or the filing cabinet behind your desk needs a copy. But when you click the print icon the output is pretty ugly. Typically, too many items are forced to the next line making the printout overly long and complex or some items are squished and don't print out right. How do you fix a SmartLlist printout?

This is so easy it's scary. SmartList follows the width of the columns on the screen. It's not perfect, but it's close. If a column is only partially visible on the screen, it will typically be partially visible on the printout. If a column has a huge space after the date it can cause the next column to move down to the next line. Fortunately these reports can be printed to screen first to ensure that things will look the way you want.

Notice that the huge space after the account number forces items to the next line and Account Description is cut off.

New Challenges and Opportunities for 2012

It’s time for a new challenge so I’m making a change. Starting in January I’m moving out of direct consulting with Dynamics GP.

My new challenge is to help build a Corporate Performance Management (CPM) practice at I.B.I.S. CPM generally involves financial reporting, budgeting, forecasting and planning. There is some overlap with Business Intelligence on the financial side but generally not operationally. We are looking to deliver CPM cross product so I’ll get to do some work with AX and CRM as well as with GP. 

This is an area where I have some significant experience. In addition to typical budget work, some of you know that a good chunk of the time that I spent as a CFO was directly involved with trying to sell our division. It’s really hard to imagine how many budget and forecast scenarios you can come up with in 8 months when the options include explosive expansion and severe contraction. I’ve also been involved in the CPM software selection process several times with a mix of products.

Right now Microsoft’s CPM strategy is less than complete, especially for larger enterprises. We like what deFacto is delivering in terms of CPM,and we like the way they partner. Expect to hear more about that as time goes on.

So what does this mean for the blog? Probably not much. I know that I tend to write about what I’m thinking about, it just doesn’t always get published when I’m thinking about it. Sometimes there are delays to protect everyone. You can probably expect to see a few more original pieces on CPM.

I’m already deep into a brand new 50 Tips presentation so that will get done in 2012 and speaking is set for Convergence in Houston. I’ve also got a pile of GP related projects in the hopper for the next 3 months. It’s going to be a challenge to get everything done but frankly, I need a new challenge and I’m looking forward to this one.

Weekly Dynamic: PayPal Email

We’ve looked at some PayPal stuff before but I wanted to add something else. Typically when paying via PayPal there is one email for making the payment. The vendor may have multiple emails for various contacts. One way to ensure that the right email is being used for PayPal payments is to dedicate an Internet User Defined Field to PayPal. This avoids any confusion.

To set this up:

  • Open the Company Setup Menu in the Administration Area Page | Company | Internet User Defined.
  • Change the appropriate User Defined Field to Pay Pal and Click Ok

Now PayPal is available on the Internet Information window.

Weekly Dynamic: Project Accounting Access List

Project Accounting provides an option to control access to projects using the Access List on the Project Maintenance Card.

Most of the consultants I know who use Project Accounting aren’t fans of controlling access to projects this way because it’s a  maintenance nightmare. I did however want to cover one aspect of this.

Rather than adding access one user at a time, select the Icon next to the Project Number on the Employee Access List to open a wizard to allow adding employees in bulk, like from a class.

The problem with the wizard is that it only adds the employees to the list. It doesn’t add the class so adding and subtracting employees to the class later doesn’t change the access list. Also, you can’t tell that employees were added from a class if you are trying to maintain the list based on classes.

So you're working along in Dynamics GP and you print a report to screen. You scroll the wheel on your mouse to move to page 2 on the screen and nothing happens. So hit the Page Down key. Nada, nothing, nope. The page doesn't move down. Yes you can scroll down with the scroll bar but that's not efficient.

So what's going on here? It a bug, plain and simple and there's a plain and simple workaround. Click on the zoom button, the one shows the percentage size, then highlight a line on the report. Now the scroll wheel and page down button will work fine. This is supposed to be fixed in GP 2010.

Oddly the solution for this is that:

You must install SQL Compact Edition SP2 for Windows Desktop on the computer that you are running the Management Reporter Server installation from. You can download the SQL Compact Edition SP2 for Windows Desktop from the following link:

You must install both the x86 and x64 version if you are using an x64 operating system.

Weekly Review: SQL Script to Monitor Transaction Log Backups

 
We see a surprising number of huge transaction logs in clients who should know better. This commonly happens when transaction logs are not being backed up regularly and the database is running in Full recovery mode. If the log grows large enough, SQL Server can stop working leading to a lot of excitement.
Typically, this solved with a properly setup maintenance plan in SQL Server but what if that's not the case? What if the maintenance plan is failing and not providing notifications? Short of regularly monitoring transaction log growth, how can a DBA ensure that logs are being properly truncated?
Thanks to the MSSQLTips site, we've now got this SQL Script designed to show any databases in Full or Bulk-Logged recovery model that have had a full backup without any subsequent transaction log backups.

This script returns database names and recovery models allowing administrators to dig deeper into the underlying problem. Running this script is much easier than monitoring transaction log growth and it can save a lot of pain and expense by helping keep the size of log files manageable.

Hidden total cost of public cloud ownership–CFO.com

One of the interesting things I learned at last year’s GPUG Summit (2010) was that a number of people were looking at cloud deployments because they were unhappy with IT an wanted them out of the mix.

Well, the cloud is all the rage and it certainly has some areas where it’s a great fit. CFO’s have to deal with additional considerations when deciding whether moving to the cloud is the right answer. Currently CFO.com has a look at the Hidden total cost of public cloud ownership.

It’s worth a read to make sure that you are taking a 360 degree look at your business when considering ANY solution.
