Weekly Review: Killing a Hung Integration

If you use Integration Manager with the Dynamics GP Destination adapters, at some point, you’ll end up with a hung session. Typically this happens when a when an integration fails but Dynamics GP does not return to availability.

The symptom of this is often a message about closing all windows prior to running the integration, even though all windows are closed.
When you run an integration with the Dynamics GP adapter (versus the econnect IM adapter) Dynamics GP must be open. When you click Run, GP disappears and reappears when the integration is complete.  What happens in the background is that Integration Manager writes to GP through the interface. The interface is hidden to improve speed and prevent interference. If the integration fails and GP does not reappear, GP may still be open in the background. If you open GP again, you actually have 2 GP sessions running and this is really confusing to Integration Manager.

There is a simple fix for this. Simply open up the Task Manager and kill the Dynamics task. Then reopen Dynamics GP and reintegrate. In very rare cases where this has not worked for me, rebooting always fixes the issue.

A Space Alien’s Guide to Microsoft Convergence

Today I’m launching A Space Alien’s Guide to Microsoft Convergence as a way to present the upcoming Microsoft Dynamics Convergence customer conference in a different light. This short guide is just as the title describes, a Convergence primer for beings from other planets.

I’ve been experimenting with some very different ways to present usage cases for Microsoft Dynamics GP. You’ll see some of those in the very near future. They aren’t just out of the box, I burned the box.
Frankly I think that my brain is rebelling from writing articles, blog posts, best practices guides and whatever else. It’s now insisting on writing fiction. In this particular case I’m bored with all of the guides to Convergence, including my own, so I decided to push the envelope.

The PDF version is a free download but you’ll need to register. Don’t worry, I won’t spam you or sell your name. I’m trying to collect information to better understand who might be interested in more of this type of thing.

I’ve also been wanting to play with publishing to Amazon’s Kindle and this looked like an opportunity to experiment. As a result, there is a native Kindle version of this very short document available on Amazon. For my U.K. friends, don't worry, there's a U.K. Kindle store version as well. Unfortunately, Amazon won’t let me publish a free Kindle story. So if you want the native Kindle experience you’ll have to drop 99 cents.

(Not being able to publish free stuff actually makes sense. Amazon pays Sprint for wireless delivery to Kindle devices but they don’t charge customers a monthly fee for the service. Amazon has to pay for it somehow and not filling up the Kindle store with free stuff is one way. There is free stuff for the Kindle but Amazon controls what’s free.)

There are more tales ready to launch. Frankly, I've had so much fun writing them that I'll probably keep at it regardless of the feedback but I'd love to hear what you think. Feel free to leave a comment on the blog, drop a tweet, Like this post on Facebook or email me.

Weekly Review: Two Way Match as a Best Practice

A three way match of PO+Receipt+Invoice is the typical process for PO processing. However, in some scenarios, a two way match is preferred because it's more efficient. Essentially the company chooses to pay from the receiving not waiting for an invoice. This is really efficient when price agreements between the company and vendor are consistent. Also in a high turnover environment, invoice differences will never make it to the product because the product will be gone long before the invoice arrives so the vendor may agree to forgive price differences in exchange for faster payment. After all, by paying from the receipt, the company eliminates a lot of time and effort chasing down small variances.

It is incredibly simple to accomplish a two way match in GP. When processing a Receiving simply pick Shipment/Invoice as the Receiving Type. This processes a receiving and invoice as one transaction thus completing the two way match.

If you're looking to do two way matching, it doesn't get easier than this.

Weekly Dynamic: Control the Sale of Discontinued Items with a Password

In pas 50 Tips in 50 Minutes presentations I’ve shown off the ability to prevent the sale of discontinued items. But the setting is all or nothing. You can’t control it by Item. However, you can control it with a password.

On the Sales Area Page under Setup pick Sales Order Processing and Options. Find Allow the Sale of Discontinued Items and check the box to allow the sale. Next to the setting enter a password. Now when you pick a discontinued item to sell, a password box will pop up. This gives you the choice at the time of the transaction to decide whether or not to allow the sale of discontinued items.

Weekly Review: Assign AP Staff to Specific Suppliers

A Purchasing best practice is to assign AP staff responsibility for certain vendors. This provides point of contact service for the vendors and helps balance the workload in a large AP environment. One easy way to accomplish this in Dynamics GP is to use the Payment Priority field. (Cards-Purchasing-Vendor, Options) This is a 3 digit, alpha-numeric field and it's easy to use an AP clerk's initials or employee number in here.

There are advantages to using the Payment Priority field over other available fields like User Defined 1 or Vendor Class. Payment Priority is one of the options for selecting checks to print. This means that it's possible to print a batch of checks just for a single clerk's vendors. If the clerk has responsibility for attaching backup prior to signing or stuffing and mailing checks after signing this can be a big help, especially if the vendor assignments are non-contiguous. You can accomplish the same thing with Vendor Classes but Vendor Classes drive so many other settings that confining it to just this use is wasteful.

If assigned vendor ranges are contiguous based on vendor name or number(A-D goes to one person, E-G another, etc.) then User Defined 1 will also work since checks could be controlled by the vendor name or ID. But when there are a couple large vendors and many small ones contiguous ranges can be very difficult to maintain.
The point is that assigning vendors to individual AP clerks is a best practice and there are several ways to accomplish that. I prefer Payment Priority but there are lots of options to choose from.
