Weekly Review: Inventory Fix for Right Value, Wrong U of M

As a reminder to new readers, Weekly Reviews are former Weekly Dynaimc tips that I want to make sure that you don't miss, just because you weren't with us back in 2007.

While cleaning out our year end inventory, we found an item with a wrong unit of measure, but a correct value. We didn't have 3 million feet of bubble wrap on hand, but if we could have gotten that for $1,100 it would be a steal. So the value is right, the quantity is wrong and I'm staring at this trying to figure out how to adjust the quantity without affecting the GL (because $1,100 is the right value) and without screwing up anything else.

Then it hit me, write the whole thing off. Bring the count and the GL value to 0 and then write the whole thing back on at the correct unit of measure and the same value.

It worked perfectly. No SQL adjustments, no inventory transactions that didn't post to the GL to explain to the auditors. Last cost is correct. FIFO layers are correct.

Management Reporter is loose. They may have ship each copy with a crow bar to pry FRx out of user’s hands but after a while the better platform of MR will start winning people over, especially if the conversion of reports is a seamless as I’ve heard from early adopter.

Dynamics GP 2010 Excel Based Table Reference

My Excel based table references for Dynamics GP 9 and Dynamics GP 10 have been downloaded more than 3,000 times so some of you like them. Now I’m happy to announce the availability of the Excel based table reference for Dynamics GP 2010.

This version is in the Excel 2007 and up XLSX format since most people upgrading to the latest version of Dynamics GP will be moving to newer versions of Microsoft Office. There are viewers and converters available if you are on an earlier version of Excel. If you desperate want an XLS version send me an email and I’ll send you one.

As before, this tool shows all of the tables in Dynamics GP based on their Module and Series. This versions gets a few enhancements. Specifically, each of the lists already has filter handles, better identification is provided for modules in the core Dynamics dictionary and modules in the Dynamics dictionary get their own tab in addition to having a tab for each series.

Some people really get this tool and some don’t. Yes, all of this information is available in Dynamics GP | Tools | Resource Descriptions. Yes, it’s all available in the SDK and the Support Debugging Tool. But there are time when I’m writing reports or code and I don’t want to take the time to open Dynamics GP just to find a table name. There also times when I’m not sure what table I need and the search functions in Excel are a huge help.

I have to give a big thanks to David Musgrave. New features in the Support Debugging Tool made compiling this file significantly faster. It’s still time consuming but it’s hours not days.

Microsoft Dynamics Top 100 Most Influential People for 2010

The folks at DynamicsWorld.co.uk have put out their new list of the Microsoft Dynamics Top 100 Most Influential People. I’m honored to have made the list again, this time at  #28. I don’t buy that I’m that influential but it’s still a fun number.

I’m more thrilled to see that I.B.I.S. founder, CEO and Eagle award winner Andy Vabulas is on this year’s list at #42. Andy deserves to be higher on this list than I am, I’m just louder, younger and maybe better looking, but not more influential. Andy throws better parties too.

Lots of other people you will recognize made the list as well, congrats to Mariano Gomez, Mohammad Daoud, Victoria Yudin, Andy Hafer (of GPUG fame), Errol Schoenfish, David Musgrave and Richard Whaley.

Weekly Dynamic: Control Account Management for Receivables

One of my favorite unknown features for Dynamics GP is Control Account Management for Purchasing. This allows companies to process AP centrally and then roll down the AP balance at month end to the appropriate departments. A reversing entry then puts everything back into AP.

This is a great feature for companies who want a complete balance sheet for their departments but prefer the efficiency of centralized AP. What about AR? After all, AP is only part of the equation. Well, Dynamics GP 2010 adds this feature for AR as well.

With the addition of AR, the feature moves out of Purchasing and into the Financial Area Page. Setup is still under Setup and users select Payables or Receivables when setting up the appropriate roll out accounts. Processing the split at month end has moved from Routines to Transactions on the Financial Area Page.

I’m thrilled to see this addition. This has always been a surprisingly complete feature. Now, if it only supported intercompany…hint, hint.

Slashdot Gets it Wrong – No Security Hole

I’m starting to get questions on a recent article about Dynamics GP that got picked up by Slashdot. The actual article is at http://www.christopherkois.com/?p=448. In the article the author claims that Dynamics GP use weak encryption and the system is easily broken. The problem with this article is that much of it is ether flat out wrong or wildly overblown. The author appears to have confused the System password in Dynamics GP with the System Administrator and jumped to a number of conclusions because of it. It’s also clear that he doesn’t understand the function of the System password in Dynamics GP. As the article claims, the System password is not heavily encrypted and this has been commented on by a number of folks. I don’t even use the word encrypted when referring to it, I use the term masked.

The same scenario does NOT apply to the encryption of user logins between GP and SQL. As noted by David Musgrave and referenced in the article, the algorithm was even enhanced for v10 as part of Microsoft’s Trustworthy Computing Initiative.  It’s clear to me that the author confused a number of articles and didn’t really understand how they related to Dynamics GP security. (Although David Musgrave’s was really straightforward and well written.)

To set the record straight, here is what you need to know:

1) The System password is an OPTIONAL component of GP security. It is recommended, but it is not a primary layer of defense. If security access isn’t granted to a resource through the application, knowing the system password won’t help you.

2) SQL access is required to use the method described to figure out the System password. The article falsely claims that a basic GP user can get access to the Dynamics DB via SQL. That is simply wrong. A GP login cannot be used to access SQL server directly for any of the supported versions of GP. It can’t be done with their GP password and it can be done with the substitution cipher shown on the website. In some older versions of GP this was an option. It’s not even an option today. The only exception is of course the sa password which is fundamentally a SQL password and designed to work that way.

If you are giving users direct access to SQL you have bigger issues than them getting the system password.

3) A number of people including myself have shown how to reset the system password. It’s even in my upcoming book so it’s not a big secret as the author contends. As I’ve said, it’s an optional component designed as second layer of defense.

I’ve responded on Slashdot and on the author’s post. The author moderates comments and hopefully he is big enough to put my comment through. In case it doesn’t happen or it takes a long time I’ve decided to clarify things with this post.

Feel free to email questions about this to me. Nothing like dealing with someone spreading  fear, uncertainty and doubt with false statements to get me worked up on a Friday afternoon.

Update: The author has posted updates clarifying some of these points. Sadly it’s unlikely that Slashdot will pick up the corrections.

Update 2: ComputerWorld picked this up and corrected themselves very quickly. Perhaps now that the original post has been corrected this can die. Kudos to them for the fast correction.

Fast Close and Decisions 2010 Update

We had a great session on closing the books faster using Dynamics GP at Decisions 2010 today. Thank you to everyone involved. The MSDynamicsWorld team was fantastic. Despite my best efforts to crash the question system with volume it held up just fine and we got some great questions out of that. Jivtesh provided an review of the session on his blog at http://www.jivtesh.com/2010/05/mark-polinos-fast-close-for-dynamics-gp.html

This was a lot of fun to do and I’m looking forward to more opportunities to do virtual conferences.

One of the questions afterward led me to realize that I misspoke so I would like to correct that here.

If you create and assign a Task in GP to another user, you can’t see that task later by default. However, there are some options to still make this process work fine for month end. The options are:

1) Assign the task to <Any User> and add the individual’s name that you want to complete the task to the beginning of the task description. All users can see these tasks and GP records who actually competed the task and when.

2) Assign the task to a specific user and use SmartList Builder, Excel Report Builder, SSRS, Crystal Reports, Excel or other reporting tool to build a report from the Dynamics..SY01403 table in Dynamics GP. This table holds all the tasks by user making it easy to build into a report.

3) Assign the task to a specific user and create a custom report using Report Writer in Dynamics GP pointed to the syUserTasks (Dynamics..sy01403). The advantage to this method is that no additional products are necessary and the custom report is easy to export and import. The down side of course is that you have to use Report Writer.

Weekly Dynamic: Slow JE Lookups Fixed in GP 2010

I’ve had this great tip in the original 50 tips for 2 years now. Tip #10 demonstrated how to get fast journal entry lookups when correcting or copying a journal entry. All it required was adding a non-clustered index to the open and history GL tables. Well I see now that in GP 2010  this has been corrected and I can pull this tip out of the rotation. Thanks for the fix Microsoft. It’s nice to have these concrete examples of fixes.This week’s Weekly Dynamic is don’t apply this fix after upgrading to GP 2010 because it’s already there!

Weekly Review: Account Description Quirk

With version 9.0, Dynamics GP added the ability to auto populate the account description based on the account segments. In 9.0 and subsequent versions, when you enter a segment it can't find, GP asks if you want to create that segment. If you click yes, you go to segment creation. If you click no, you get to add the description manually. There is also a box marked, Do Not Display This Message Again.


If you check this box there's not an easy way to get it back if you change your mind. The change is made for the logged in user for all companies that user has access to.

The solution is a SQL Script. Execute this script in query analyzer for each company that a user has access to. Substitute the appropriate user id for myUserID.

delete from SY01401

where USERID = 'myUserID'

and coDefaultType = 13

This will bring back the box and put you back in charge of account descriptions.

READ THIS RIGHT NOW: Smartlist: Exports slowly to Excel - Part 1

I don’t yell often so stop what you are doing and go to Developing for Dynamics GP to read Patrick Roth’s article on how to dramatically speed up SmartList exports to Excel for GP 10 and GP 2010. The post is: Smartlist: Exports slowly to Excel - Part 1
Patrick details a Dex.ini switch for GP 10 and GP 2010 that significantly speeds up SmartList exports to Excel. On a run of the mill laptop running GP 2010 I loaded a SmartList with 22,229 records. It took 1 minute, 15 seconds to load the window and a mere 27 seconds to send that data to Excel. All of us will be adding this to our list of Dex.ini switches. You should too, right now.

David Musgrave didn’t waste any time getting a new build of the Support Debugging Tool out. This one fixed the issue with the GP 2010 RTM but that’s not all. Objective Measures: Client Satisfaction

Executive blogger Dwight Specht is back looking at how to measure Client Satisfaction in a Dynamics practice. (I’m still not sure why we practice this, at some point we should do Dynamics for real).

If your clients hug you when you walk into their offices or have a large tub of Diet Mt. Dew on ice for you, it’s pretty easy to determine their level of client satisfaction. If that doesn’t happen, you have to figure it out. Dwight’s post tells you how to figure it out.

SureStep gets an Exam

Dynamics GP Partners now have a new exam that they have to pass. WAQAS BUTT has full coverage in the post: Microsoft Dynamics GP Blog: Managing Microsoft Dynamics Implementations Certification Exam MB5-858.

Essentially this is the Sure Step implementation exam. Microsoft is pushing this to help partners provide a consistent implementation methodology when implementing Dynamics GP.

Microsoft Responds to the Evolution of Communities

The Microsoft Newsgroups are going away to be replaced by web based forums. This change has been in the works for several years. I’m sure that plenty of people will get all worked up about. I won’t. My preference is to follow newsgroups and forums via RSS and that’s hard to do for newsgroups. It’s only because of Google that it’s possible.

Frankly, I’ll be happy to have fewer, more concentrated places to provide support to GP users. The fragmentation meant that folks often posted in more than one place making it tough to really provide complete answers.

Convergence 2010 Wrap Up

The last of the evaluations are due in today and I doubt that they will change much in terms of how the sessions are ranked after Convergence. When you’re at a 150 or so evaluations it takes a lot to move the numbers. So how did we do?

There are 2 overall measures of a session that get tracked. One is based on the Overall Satisfaction question scored on a 4 point scale and one is based on the  Presenter Effectiveness question based on a 5 point scale.

Overall Satisfaction

For the Dynamics GP track in Overall Satisfaction, Mariano and David’s session on the Support Debugging Tool comes in at number 1, my 50 More Tips is number 2, Mariano and David’s repeat is 3 and my original 50 Tips came in at 4. All of these sessions had more than 75 evaluations and most of them were over 150 evaluations. The minimum number of evaluation is 10. 150+ very positive evaluations is incredibly cool. The separation between #1 and #4 in the the GP track was 11/100ths of a point.

These are crazy high numbers of people who enjoyed the sessions. In all of my sessions more than 50% of the people who attended filled out an evaluation. Mariano and David had similar numbers. The fact that we finished this way shows the value of MVP’s and the closeness of bloggers to the community. We eat, sleep and breathe this stuff and the passion comes through. David and Mariano rocked.

Overall Satisfaction across all sessions is tied right now between Tips for Outlook 2010 and 50 Tips for SL. Apparently the 50 Tips in 50 Minutes concept is a hit across the products. I’ll have to do something creative next year to stand out.

Presenter Effectiveness

If you though that Overall Satisfaction looked good, we killed at Presenter Effectiveness. 50 More Tips in 50 Minutes is ranked  #1 for Presenter Effectiveness across all Convergence Concurrent Sessions and David and Mariano’s Support Debugging Tool session is ranked #2 across all Concurrent Sessions.

    Weekly Dynamic: Identifying Intercompany Transactions

    In Dynamics GP Inquiries and Reports, an asterisk (*) on the end of a transaction number indicates a voided transaction. Most folks figure that out pretty fast. Less commonly known is that a pound sign (#) at the end of a transaction number indicates that this is an intercompany transaction using the standard intercompany functionality in Dynamics GP.

    • Open the Excel file from last week.
    • Pick Data | Properties | Definition
    • Click Export Connection File and save the file.
    Now the Excel file and the connection file can be sent together to provide a portable Excel file with built in parameters.
