Weekly Dynamic: Troubleshooting Security

Troubleshooting security issues keeps coming up and keep giving the same answer so I thought that I would write about it.

Troubleshooting security errors is simple IF you do a little prep work. Here is all you have to do to resolve security errors.

  • Install the Support Debugging Tool
  • Give everyone access to the MBS Debugger User Role
  • Under the Support Debugging Tool Administrative settings, set Automatic Open Mode to Open on Errors and Warnings.

What happens now is when access is denied to a window or a report, a user gets details of what resource is being denied.

  • The user can click export to send this file to a security Administrator.
  • The security admin can import the file in to the Support Debugging Tool to see exactly what was denied.
  • The security admin can drill back to review and set security from the imported file.

Once the Support Debugging Tool is setup this is quite simply the easiest and simplest method of figuring out security access issues.

Weekly Review: Turning a Project into a Fixed Asset

A common request is to turn a Project from the Project Accounting module, into a Fixed Asset in the Fixed Asset module. There is no native functionality to do this and based on my conversations with the Dynamics GP team, it's not going to happen so you might as well understand the workaround and it looks like this:

1) Create a Miscellaneous Log Cost Category for Fixed Assets pointing the Contra Account to the FA Clearing account and the Cost/Expense account to wherever you are collecting the project costs (a WIP account, a project FA WIP account, etc.). You'll be doing a negative misc log so the cost collection location will be credited and contra (FA Clearing) will be debited.
2) Once the project is ready to become a Fixed Asset, process a negative Misc Log transaction using the Fixed Asset Cost Category to remove an amount equal to the total cost of the project.
a. This setup makes it easy to exclude the FA Cost Category when analyzing project costs while still leaving the project at zero
b. This process provides a transactional audit trail to show that the project was closed out and moved to Fixed Assets
3) Create a Fixed Asset. The GL Transfer mechanism will move the costs from the FA clearing account to the appropriate Fixed Asset account.

The reality is that the number of fields that would actually transfer from a project is really small, single digits small. The complexities of creating a Fixed Asset from a project become large very fast. For instance, how do you deal with multiple assets from a single project, complete assets but incomplete projects, partial capitalization of a project, combining Cost Categories for capitalization, etc. The benefits of creating something to manage this are far outweighed by pain of dealing with all of the possible scenarios. Realistically, this is best handled through a process like the one described here.

Where Do You Find Your Next Hire? « The Death of Reason

Dwight Specht looks at the success of our college hire program in his new post, Where Do You Find Your Next Hire?
Though it’s a great post, he neglected to mention a few things that I wanted to highlight.
First, David Duncan was a hire out of college three years ago, now he’s the co-author of a book on Reporting in Dynamics GP. Hire to expert, 3 years. It took me 10 years to get my first book out. Apparently I’m a little slow. Thank goodness the second one is available. Maybe I can catch him on the average.
Second, Kelsey Andrich is doing a terrific job blogging on what it’s like to go from college to consulting. In the process, she and all of the other hires, help I.B.I.S. make this process better.
Third, our college hires push our more experienced people. They learn at a pace that is freakishly fast and I’ve confessed on more than one occasion to a little jealously. Those of us who have been around for a while are running to stay ahead of them and losing. It’s fantastic.
Finally, despite Dwight’s flagrant generalization, I am well below the 46-53 age bracket. This means that even if he is better looking than me, I will always be younger and have better hair.

Weekly Dynamic: Find Debit or Credit Amount

Sometimes you need to find a particular amount that could be either a debit or credit. Maybe it’s a rogue transaction or a posted amount that went to a wrong account and you just can’t find it.

Well, this is easy to do with a SmartList. All you have to do is:

  1. Open up the default Financial | Account Transactions SmartList
  2. Open the Search window
  3. Set Debit Amount equal to the amounts your looking for.
  4. Repeat this with Credit Amount
  5. Set the Search Type to Match 1 or More. This is an “or” setting meaning that it will find transactions where Debit Amount or Credit Amount equals the amount entered.
  6. Further refine the search limiting it to certain accounts or dates

Weekly Review: SQL Snapshots and Dynamics GP

 

Sometimes when implementing Dynamics GP you do a lot of backing up and restoring. Large implementations can require multiple test environments, development environments, etc. Sometimes you need to push a large number of transactions through for testing over and over again, restoring the environment each time.

Well all of those backups and restores take time. A faster alternative is to use functionality in SQL Server to take a snapshot of a company. Snapshots have lots of limitations that make them unsuitable for typical backup/restore needs but for activities that require multiple reloads they are a lifesaver. Why? Snapshot restores are fast. Smoking fast. 4 second restores fast.

In a test on an old, single processor machine, the default TWO company and the Dynamics DB took 45 seconds to backup and another 45 seconds to restore. A snapshot took 6 seconds to backup and 4 seconds to restore. What's more, the snapshots don't slow down much as the db size increases. We've seen GP databases that take an hour for a full backup and restore still create a snapshot in under 10 seconds and restore in under 10 seconds.

Unfortunately Snapshots only work on the Enterprise Edition of SQL Server but if you want to know more about both the power and the limitations of snapshots, here is a great overview.
Here is the SQL Code I used to create and restore my test snapshots:

The backstory:

I was impressed enough with someone’s recent blog post that I wanted to send them a free copy of the Microsoft Dynamics GP 2010 Cookbook: Lite Edition.

So I visited their website to get their email address and surprise them with a book. No email address.

I drilled down into their profile, surely it’s there. No email address. I saw that their blog had moved and visited the newest site. No email address.

Their Twitter account is a shared/company Twitter account so I hate to Direct Message it. Who knows who will get the message.

I’ve run into that a couple of times lately where I want to drop a blogger a private message and there is no way to contact them short of commenting on the blog and sometimes even that’s not available.

At DynamicAccounting.net I’ve got my email address, Instant Messenger address and my personal cell phone number on the main page. In six years I’ve gotten exactly one phone call that crossed the line.

I’m the only one who posts to both of my Twitter accounts, feel free to DM me. I’m easy to find and connect with on Linked In and Facebook too.

It’s sad that someone just missed out on a free book. It’s a good book too.

Top 100–Who’s Missing?

Over the last day or so I’ve had a number of conversations with folks about people missing from the 100 Most Influential in Microsoft Dynamics list.
Some of the more prominent names that I think should be on the list are:
  • David Musgrave – He a prolific Dynamics GP blogger, he answers questions in the forums, he wrote the incredible Support Debugging Tool, provides support for it and he’s a highly rated speaker at events like Convergence. Plus the GP MVP’s voted him an honorary MVP. (He can’t be an MVP because he works for Microsoft. Apparently the MVP recognition isn’t enough to make him quit. Go figure.)

    So how is it that David Musgrave didn’t make the list?
  • Adam Berezin / David Gumpert / Jason Gumpert – One of these guys should have made it based on all the hard work they put in at MSDynamicsWorld.com.

    [Disclaimers: MSDynamicsWorld and DynamicsWorld.co.uk are two different entities with some overlap in audience. I do a lot of writing for MSDynamicsWorld.]

    But when you run one of the largest websites dedicated to all of the Dynamics products and put on two virtual conferences a year around Dynamics I would think that you crack you the top 100.
  • Nick Hoban – Nick runs the wildly successful Dynamics Community site for Microsoft. Surely someone who runs a site that affects tens of thousands of Dynamics users has the juice to make the top 100.

  • Bob McAdam, Frank Hamelly, Errol Shoenfish, Chad Sogge and Pam Misialek
These are few more names that surprise me in their absence.

Weekly Dynamic: SmartList Any Field

SmartList contains an item in the Column Name section of the Search Box labeled Any Field. When searching a SmartList Any Field does just what you expect. It search any field in the SmartList for the value you input.

For example, using Any Field begins with cen in the Fabrikam Sales Order Invoice will return any fields whose value start with “Cen”

There can be some problems with this though. A bug in some versions of GP prevents this from working right. Even in GP 2010, I’ve seen errors where the search generates errors trying to convert a field to search it. It’s not perfect but that doesn’t mean that it’s not useful.

2011 - 100 Most Influential in Microsoft Dynamics

The 2011 list of the 100 Most Influential in Microsoft Dynamics is out from DynamicsWorld.co.uk.
There are lots of names that you’ll recognize on the list. I’ve moved up a few notches to number 16 but I’m more impressed with Andy Snook of FastPath. He debuted at number 18. Andy must have incriminating pictures of someone to have become so influential so fast.
Dwight Specht made the list at number 75 and in classic Dwight fashion, humbly accepted this recognition.
As I’ve said before, it’s great to be on list, even if some things make no sense. For example I have no intention of walking up to Steve Balmer (#41) and asserting my claim to be  more influential.
I’m surprised at a few folks who didn’t make the list. Bob McAdam, Errol Shoenfish and Pam Misialek are a few that come to mind.
I am also thrilled at some folks who did make the list. I.B.I.S. had 4 people on the list this year including Andy Vabulas who moved up to number 27 and Clinton Weldon who debuted at number 90.
The thing about Clinton is that he’s actually gotten more fixes and features into GP than anyone I know. He just influences behind the scenes. In other words, he gets things done, unlike some people who are louder and higher on the list. I’m referring of course to number 16.
Congratulations to everyone who made the list and congratulations to everyone who was nominated. Certainly every GP person that I saw nominated deserves to be on this list.

Weekly Review: SQL Data Mining Add In.

Microsoft BI marches forward. The latest cool tool is also free. Microsoft has released its Data Mining Add In for SQL Server. While not necessarily GP specific it should work just fine against GP databases and cubes. I could spend a whole bunch of bits here telling you about it but why don't you just go here and see for your self how cool this is.

One caveat, this requires Office 2007 and SQL Server 2008 so some of you may not be ready for it yet.

In addition to Gloria’s look at how and when to use the SA account I would add a shout out to Fast Path’s Config AD which allows security assignment to be separated from security setup. This allows consolidated security assignment from centralized security group.

Config AD also allows single sign on based on Active Directory. This reduce risk since users have fewer passwords to remember, making them less likely to write them down. It also reduces password related support calls.

Weekly Review: Dynamics GP 10 & 2010 Roles vs. Classes

 

In Dynamics GP 10, the User Class functionality that was previously used to assign security to groups of users has been superseded by the new role based security design in Microsoft Dynamics GP 10. But, user classes still exist as part of the user setup. Lets look at what purpose User Classes still serve in GP 10. The move to role based security means that classes are now divorced from their primary security role and it proves to be a good breakup because it adds flexibility to the system.

One area that still relies on User Classes is Organizational Structures. Organizational Structures are used to control access to accounts when Account Security is turned on. A user class is assigned to a level in the organizational structure. This limits the accounts in the chart of accounts that are available to a class of users and can be much simpler than adding individual users. For example, a set of AR users assigned to Division 1 can be put in a Division 1 class tied to an organizational structure that limits their chart of accounts access to Division 1 P&L accounts and company wide balance sheet accounts. This means that AR users and AR supervisors could be in one class even though they have different security roles. [One caveat, turning on Account Security without defining organizationl structures makes it look like the chart of accounts has been wiped out so turn this feature on carefully.]

Additionally, user classes provide two benefits in SmartLists. First, users can make a SmartList favorite visible only to their class. Previously this would have meant that an AP clerk would have access to a favorite but not an AP supervisor since they might be in different classes for security. That's less likely now that each would have a separate security role. This shows the added flexibility that classes bring to the new role based security structure.
Second, the system administrator can force Navigation Bar shortcuts like SmartLists down to user classes. When this is done, the individual user cannot remove these shortcuts. This means that it's easier for the administrator to ensure that all related users have a common subset of shortcuts. For example, it's easy now for a company to put a shortcut to an office supplies ordering website on all Purchasing user class members regardless of their level in the organization.

Contrary to my initial thoughts that Role Based Security in Dynamics GP 10 would make user classes obsolete, the opposite has happened. The continued presence of user classes has actually added flexibility to the system.
